Role Summary:
We are looking for a contract Project Manager to lead the end-to-end implementation of Jobvite as our new applicant tracking system (ATS). This is a fast-moving, high-visibility project with no formal vendor implementation team; you will partner directly with the Head of Talent Attraction, HR, IT, and key business stakeholders to drive every phase of the rollout.
The ideal contractor is a hands-on, highly structured PM who is excellent at planning, risk and dependency management, holding teams accountable, and driving follow-through. You are comfortable working in ambiguity, can quickly understand complex HR/ATS integrations and data models, and are willing to roll up your sleeves to document processes, training materials, configurations, and specifications.
Key Responsibilities:
Project Leadership & Planning
Own the overall Jobvite implementation plan, including scope, milestones, critical path, and success measures.
Facilitate project governance (project/work stream meetings, cadence, agendas, decision logs, RAID logs) and ensure clear RACI/ownership across stakeholders.
Drive status updates (written and verbal) for the Head of Talent Attraction and key sponsors.
Risk, Issues & Dependencies
Proactively identify risks, issues, and roadblocks across workstreams (HR, IT, security, integration partners, hiring leaders).
Develop and maintain a RAID log; ensure mitigation plans, owners, and timelines are clearly defined and tracked.
Escalate decisions and blockers quickly with options and recommendations, not just problem statements.
Integration & Data Model Ownership
Partner with HRIS/IT and relevant vendors to define and document integration requirements between Jobvite and upstream/downstream systems (e.g., HRIS, ****, assessments, reporting/analytics, SSO).
Lead the work to design and implement a parent/child data structure for recruiting data (e.g., requisition hierarchies, campaign vs. requisition, role families) where this structure does not exist today.
Drive clarity on how the new parent/child relationship will be maintained long term (ownership, processes, controls, and data quality checks).
Ensure integration and data design supports reporting, compliance, and Talent Attraction operating needs.
Configuration, Processes & Documentation
Coordinate and track Jobvite configurations (workflows, stages, templates, forms, permissions, notifications, offer processes, approvals).
Partner with Talent Attraction to map and redesign recruiting processes (current state future state) aligned to the new ATS.
Build and maintain clear, version-controlled documentation, including:
Business requirements and functional specifications
Process maps and SOPs
Configuration workbooks / specs
Integration requirements and data flows
Data conversion and cut over planning and supporting activities for legacy system (Greenhouse)
Training, Change & Adoption
Develop or coordinate training materials for recruiters, hiring managers, and HR partners (guides, job aids, quick reference, short videos, etc.).
Support planning and execution of UAT, including test scenarios, scripts, defect tracking, and sign-offs.
Partner with Talent Attraction and HR Comms to plan go-live and change management, ensuring users understand new processes and how to get help.
Execution & Accountability
Hold cross-functional teams accountable to deliverables, decisions, and timelines without formal authority.
Run effective, focused project meetings: clear agendas, pre-reads, decisions, and follow-ups.
Track and manage detailed action items; ensure follow-through and closure.
Maintain a laser focus on go-live readiness (cutover planning, data migration, communication, support model).
Required Qualifications:
3-5 years of project management experience, including HR technology or ATS implementations.
Demonstrated success leading complex, multi-system integrations (HRIS/ATS and adjacent tools).
Strong skills in:
Project planning and scheduling (timeline, dependencies, critical path)
Risk/issue management and escalation
Stakeholder management across HR, IT, and business leaders
Driving accountability and follow-up in a matrixed environment
Proven ability to create high-quality documentation:
Business and functional requirements
Process flows and SOPs
Training and change materials
Comfort operating with limited vendor support; able to self-direct, learn the product, and push for clarity.
Excellent communication skills (concise written status, clear verbal updates, ability to simplify complex topics).
Preferred:
Direct experience implementing Jobvite or another enterprise ATS (e.g., Greenhouse, Workday Recruiting, iCIMS, Lever).
Experience working in HR/Talent Acquisition environments and understanding of recruiting lifecycle end-to-end.
Experience designing or working with parent/child or hierarchical data models (e.g., job families, requisition groupings, multi-level requisitions) and related governance.
Familiarity with data migration, data quality, and UAT best practices.
Project management certification (e.g., PMP, Scrum Master, Agile certifications) is a plus.
