I. Essential Duties and Responsibilities
We are seeking a motivated, detail-oriented, and delivery-focused Project Manager I to support the planning, execution, and delivery of projects. This role supports multiple concurrent projects including those oriented towards research, development, and technical transfer of processes into Gannet’s manufacturing facility in Huntsville, AL. The individual will also be involved in working with technical subject matter experts from Process Development, Analytical, Manufacturing, Supply Chain, and Engineering & Reliability as well as business development colleagues to provide proposals for potential projects. This role ensures projects maintain momentum, remain within scope, budget and meet documentation standards. The individual may serve as a primary operational point of coordination between internal teams and partners with authority to proactively follow up and escalate.
This role is ideal for someone who is expert at multi-tasking, eager to learn, grow, and contribute to successful project outcomes. You will work closely with senior project management and cross-functional teams to ensure projects are completed on time, within scope, and within budget.
Key Responsibilities
- Responsible for the development and review of project plans, timelines, budgets, and proposals.
- Coordinates project activities, resources, and information across teams ensuring completion of projects while adhering to budget, scope, quality standards, and schedule requirements.
- Helps ensure consistent practice throughout all phases of the project life cycle.
- Tracks project progress and reports on status, risks, and issues internally and externally to clients.
- Support client communications including status updates, meeting coordination, and follow-ups; progressively develop the ability to lead routine client interactions.
- Schedules and facilitates meetings, including preparing decision-oriented agendas that drive discussion, outcomes, and accountability.
- Prepares project documentation, including meeting notes with clear, actionable summaries with owners and due dates.
- Proactively communicates with stakeholders to ensure alignment, transparency, approvals are obtained, and open actions are completed.
- Supports risk management and issue resolution efforts.
- Coordinate and track deliverables, milestones, and dependencies to ensure alignment with contractual commitments and timelines.
- Support scope management processes, including identification, documentation, and coordination of change orders in alignment with contractual agreements.
- Escalate risks, delays, scope creep, or budget concerns early, clearly, and with recommended mitigation options.
- Coordinate with Finance invoicing events related to the completion of deliverables and work packages.
II. Minimum Qualification Requirements
- Bachelor’s degree in Business, Project Management, or related field, or equivalent combination of education and experience.
- 2+ years of experience supporting cross-functional projects in delivery-focused environments. Pharmaceutical, medical products or other related industry experience is preferred.
- Awareness of cGMP requirements, regulated environment operations, documentation practices, and change control systems is a plus.
- Demonstrated experience owning meeting cadence, documentation, and follow-through, not just participation.
- Experience maintaining decision logs, action item trackers, and status reporting.
- Proficiency in Microsoft Teams, Microsoft PowerPoint, Word, and shared document repositories.
- Experience using Smartsheet or similar project management/tracking tools.
- Experience coordinating vendor deliverables and tracking hours against budgets is preferred.
- Strong organizational and time management skills with the ability to multi-task and manage competing priorities independently.
- Demonstrated experience supporting multiple concurrent projects in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities without losing attention to detail.
- Demonstrated ability to professionally persist, escalate when needed, and hold parties accountable without authority conflicts.
- Strong ownership mindset with a bias toward action, risk awareness, and proactive problem-solving.
III. Physical Requirements
- Must be able to pass pre-employment drug screening and background check for employment consideration.
Prolonged periods of sitting at a desk and working on a computer.
- Must be able to occasionally lift up to 15 pounds.
- Must be able to stand for long periods of time.
- May be required to perform tasks essential to the job function in areas that require the use of hearing protection devices.
- Performance of tasks essential to the job function may require the employee to work directly with, handle, or otherwise come into contact with chemicals or pharmaceutical agents.
- Must be able to wear a respiratory protection (filtering face piece, half-face, full-face, or powered air purifying respirator, supplied air, or self-contained breathing apparatus) for certain tasks essential to the job function.
- Must be able to gain access to elevated work surfaces via vertical ladders or stairs to perform tasks essential to the job function.
- Must be able to accurately detect color and have 20/20 vision (with/without corrective lenses).
- May be required to enroll in a medical surveillance program based on the potential exposure to certain health hazards encountered as a result of their job function
