Job Description:

Program Coordinator

Apex Systems is a global IT services provider, and our staffing practice has an opening for a Program Coordinator to join our client, a multinational technology corporation.

Client: Multinational technology corporation

Terms: 4‑month contract, with expected extension up to 18 months

Location: Fully remote within the U.S.; must be available during standard PST business hours

Overview

The Program Coordinator will support the Client Operations team, which manages key operational processes to ensure a smooth, compliant, and efficient contracting experience. This role focuses on contract processing, CRM ticket management, and process optimization through data analysis and reporting.

You will review and process contracts submitted by internal sellers, prepare documents for signature, and implement finalized contracts. The role does not involve client interaction but requires frequent collaboration with legal, finance, and other internal teams. The team sits within Account Services/Advertising and supports internal sellers with onboarding and contract workflows.

Responsibilities:

1.Process Execution & Maintenance

· Follow established procedures to execute operational processes in alignment with compliance and controls.

2.Process Optimization & Business Improvement

· Identify process pain points and recommend improvements.

· Support monitoring and evaluation of process performance using data insights.

· Assist with benchmarking and data interpretation to align with best practices.

3.Tier 2 Support

· Resolve escalated cases requiring additional nuance beyond Tier 1 vendor support.

· Recommend improvements to Tier 1 process guides to reduce escalations.

4.Data Management & Reporting

· Compile and distribute reports on process metrics, contract status, and account adjustments.

· Maintain data accuracy and integrity within CRM and related systems.

5.Communication

• Share findings and insights with Client Ops management to support continuous improvement.

Required qualifications:

• Experience in client operations, process improvement, or contract management.

• Strong analytical skills with the ability to interpret data and benchmark performance metrics.

• Excellent written communication skills for documenting processes.

• Ability to collaborate with legal, sales, and customer success teams.

• Proficiency with CRM systems and data management tools.

• Ability to manage multiple tasks in a fast‑paced environment.

• English proficiency

 

Top 3 Requirements

 

1. Minimum 2 years of experience with Process Execution & Compliance

2. Minimum 2 years of experience with Data Analysis & Reporting (PowerBI is preferred)

3. Minimum 1 year of experience with CRM Systems & Data Management Tools Proficiency

 

Typical Day

 

A typical day includes approximately one hour of peer review, four to five hours of ticket and case work, preparing and reviewing contracts, implementation tasks, responding to internal stakeholders, managing email communication, and analyzing data.

· Target start: ASAP (week of 2/2)

· One interview round with the sponsor and a team member. Candidates should be prepared to discuss relevant experience and alignment with the role.
