Summary:
The Program Support Manager ensures the smooth operation and success of multiple concurrent projects in aerospace, defense, and aviation. This role serves as the hub for administrative, financial, HR, compliance, and logistical support across the Cincinnati office, offsite managers, and a large workforce. It requires independently managing priorities, problem-solving, and coordinating with leadership, clients, contractors, and employees to ensure deadlines, budgets, and regulatory standards are met.
Day-to-Day Responsibilities:
Program & Project Support:
- Support staffing by assisting with on boarding for project roles.
- Track project metrics and status for management and clients.
- Ensure all projects comply with FAA, Drug Abatement Program standard.
Finance & Administration:
- Process invoices and purchase orders independently; update spreadsheets weekly.
- Maintain cost analysis for smaller projects.
Travel & Logistics:
- Arrange domestic and international travel for employees, contractors, and executive leadership.
- Manage flight bookings, lodging, transportation, and visas as needed.
- Ensure travel meets compliance requirements and program timelines.
HR & Compliance:
- Serve as the main HR point of contact for the Cincinnati office and assist employees and managers as needed.
- Lead FAA (DER) compliance programs, ensuring processes are consistent and regulatory-compliant.
- Manage on boarding, benefits renewals, employee files, and background checks.
Training & Client Coordination:
- Provide logistics and budget support for F110 Engine training and other programs.
- Liaise with clients and contractors to ensure program needs are met.
Creative & Communication Support:
- Use Adobe Premiere Pro to adjust contracts, logos, invoices, and other professional materials.
- Assist with preparing presentations, proposals, and client-facing materials as needed.
Work Environment & Priorities:
- Typical days involve juggling multiple tasks; priorities shift as issues and questions arise.
- Minimal direct interaction with CEO; coordinate primarily through CEO’s assistant.
