What You Will Do

The Associate Laboratory Directorate for Physical Sciences (ALDPS) is seeking a highly experienced, proactive, and strategic professional to join the ALDPS Directorate Office as a Professional Staff Assistant 3 (PSA-3).

The PSA-3 will provide senior-level executive and operational support to the Associate Laboratory Director, Chief Operating Officer, LANSCE User Facility Director, and Staff Operations Manager as they provide leadership for critical mission work. This position serves as a trusted partner within a high-visibility, fast-paced directorate office and requires significant independence, sound judgment, and discretion.

As a key member of the administrative team, the PSA-3 will operate with limited direction and significant latitude to manage complex executive priorities and anticipate organizational needs. The selected candidate will help ensure seamless coordination of directorate activities, executive engagements, high-level meetings, and strategic initiatives. The PSA-3 will facilitate coordination and communication with internal and external stakeholders and provide mentorship and guidance to administrative staff.

The ALDPS directorate consists of the ALDPS Office and six divisions: Accelerator Operations and Technology; Materials Physics and Applications; Materials Science and Technology; Physics; Sigma; and LANSCE Facility Operations. ALDPS also includes the Nuclear Energy Program Office, the Accelerator Strategy Office, and the LAMP Project Office, and oversees three national user facilities - the Los Alamos Neutron Science Center (LANSCE), the Center for Integrated Nanotechnologies (CINT), and the National High Magnetic Field Laboratory.

ALDPS develops and applies a broad set of capabilities in materials science and experimental physics to programs and problems of national importance. Fundamental research conducted within ALDPS contributes to solutions for critical national security challenges, including nuclear weapons mission execution, homeland security, intelligence and information analysis, and alternative energy.

The PSA-3 plays a critical role in supporting directorate leadership by ensuring executive effectiveness, operational coordination, and high standards of professionalism across administrative functions.

What You Need

Minimum Job Requirements:
  • Advanced experience providing administrative and operational support within a complex, high-visibility organization.
  • Demonstrated ability to operate independently with significant latitude and sound judgment.
  • Proven experience managing highly complex executive calendars, including strategic prioritization of commitments and long-range planning.
  • Extensive experience coordinating complex domestic and international travel, including detailed itinerary development, logistics management, and contingency planning.
  • Experience coordinating high-visibility meetings, site visits, conferences, and executive events.
  • Excellent interpersonal, verbal, and written communication skills, including advanced editing, formatting, and grammatical proficiency.
  • Demonstrated ability to anticipate challenges and manage competing priorities in a dynamic environment with frequent interruptions.
  • Proven ability to build effective working relationships across multiple organizations and interface confidently with senior leaders and external stakeholders.
  • Experience mentoring or providing guidance to administrative personnel.
  • Ability to obtain and maintain a DOE Q Clearance, which typically requires U.S. citizenship.

Education/Experience: Position requires a Bachelor's Degree and 8 years of related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, post graduate course work may be expected.

Desired Qualifications:
  • Advanced knowledge of LANL organizational structure, operations, and administrative policies and procedures.
  • Demonstrated success improving administrative or operational processes.
  • Experience managing executive email communications, including triaging correspondence and maintaining situational awareness of executive commitments and action items.
  • Advanced working knowledge of LANL enterprise systems, including Oracle Time & Effort, Ariba, Concur (Foreign and Domestic), and RASSTI.
  • Active DOE Q Clearance.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
