We are seeking a detail-oriented Lab Planner/Scheduler to join our operations team. In this essential role, you will be responsible for coordinating all routine maintenance activities for our analytical instrumentation, managing vendor relationships, and optimizing the utilization of our technician workforce. You'll work closely with end users to ensure seamless laboratory operations through effective planning and scheduling of calibrations, preventive maintenance, and vendor services.
What You'll Do
Plan and schedule vendor visits for analytical instrument preventive maintenance (PMs)
Coordinate with external service providers to optimize maintenance schedules and minimize laboratory disruption
Escort vendors during maintenance activities to ensure safety compliance and quality standards
Manage vendor documentation, service reports, and maintenance records
Track vendor performance and service quality metrics
Plan and schedule internal instrument and mechanical technicians for calibration activities across all laboratory areas
Optimize technician labor utilization by analyzing workload distribution and capacity
Balance routine calibration schedules with urgent maintenance needs
Coordinate technician assignments based on instrument expertise and certification requirements
Work directly with laboratory end users to understand operational needs and scheduling constraints
Resolve scheduling conflicts between maintenance activities and laboratory operations
Provide advance notice of planned maintenance to affected users
Gather feedback from end users to improve scheduling processes and minimize operational impact
Balance routine maintenance requirements with backlog and emergency repair needs
Monitor maintenance costs and identify opportunities for cost optimization
Generate regular reports on maintenance performance and technician utilization
Document and track maintenance-related delays or issues for continuous improvement
Coordinate availability of spare parts, consumables, and specialized tools for maintenance activities
What We're Looking For
Required Qualifications:
Bachelor's degree in Chemistry, Engineering, Laboratory Sciences, or related technical field
3-5 years of laboratory operations or maintenance coordination experience
Hands-on experience with analytical instrumentation maintenance and calibration
Experience coordinating with external vendors and service providers
Proficiency with scheduling software and computerized maintenance management systems (CMMS)
Essential Skills:
Strong Communication
Proven ability to manage complex maintenance schedules and optimize resource utilization
Experience working with external service providers and managing service contracts
Ability to quickly resolve scheduling conflicts and maintenance-related issues
Knowledge of analytical instrumentation (HPLC, GC-MS, spectroscopy, etc.) maintenance requirements
Understanding of calibration principles and procedures
Familiarity with laboratory safety protocols and vendor escort procedures
Experience with maintenance management software and scheduling tools
Proficiency in Microsoft Office Suite, particularly Excel for scheduling and reporting
Project management or scheduling certification
Previous experience in vendor escort and safety coordination roles
Understanding of preventive maintenance best practices

Estimated compensation for this position:
72,000.00 - 90,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
