Receptionist at a Pediatric Clinic:
  • Location: Davies Institute for Speech and Hearing.
  • Starting Salary: $35,000/year
  • Full-Time | Monday–Friday | 8:00 AM – 5:00 PM

Key Responsibilities:
  • Serve as the first point of contact for patients and families, providing a welcoming and professional environment at the front desk.
  • Check patients in and out, verify insurance information, collect co-pays, and ensure all required forms are completed accurately.
  • Manage scheduling of appointments, cancellations, and reschedules, while enforcing clinic scheduling policies.
  • Handle high call volume with professionalism, routing calls and messages appropriately.
  • Address patient concerns and complaints calmly and confidently, escalating to management only when necessary.
  • Maintain composure and professionalism when dealing with upset or difficult patients, ensuring issues are resolved while protecting clinic policies.
  • Communicate clearly and effectively with clinical staff to ensure smooth patient flow and coordinated care.
  • Safeguard patient confidentiality and comply with HIPAA and all clinic privacy standards.
  • Maintain an organized, efficient, and professional front office environment.
  • Support additional administrative tasks as needed, including prior authorizations, referrals, or patient correspondence.

Medical Billing:
  • Collect co-pays, deductibles, and outstanding balances at the time of service.
  • Assist with claim submissions and ensure proper coding for insurance billing.
  • Follow up on unpaid claims and denials, working with insurance providers to resolve issues.
  • Generate patient statements and answer billing-related questions.
  • Assist the billing department with month-end reporting and reconciliation tasks.

Administrative Support:
  • Maintain the cleanliness and organization of the front desk and waiting area.
  • Ensure patient confidentiality by adhering to HIPAA guidelines.
  • Assist with general administrative tasks, including filing, faxing, and ordering office supplies.
  • Remain firm in office policies with patients who have scheduling conflicts.
  • Maintain front desk statistics (weekly new patients, new referral sources, etc.)

Qualifications:
Education:
 
  • High school diploma or equivalent required; certification in medical office administration or billing is a plus.

Experience:
  • 5+ years of experience in a medical office or healthcare setting, preferably in pediatrics.
  • Experience with insurance verification and medical billing.
  • Familiarity with EMR systems (e.g., Kareo, Athenahealth, EPIC) and medical coding (ICD-10, CPT).

Skills:
  • Bilingual in Spanish is preferred
  • Demonstrated ability to manage challenging or dissatisfied patients with professionalism, patience, and confidence.
  • Strong conflict-resolution and de-escalation skills, with the ability to remain calm under pressure.
  • Assertive and persistent in upholding clinic policies, ensuring accurate collection of co-pays, and maintaining orderly scheduling.
  • Excellent interpersonal and communication skills; able to convey information clearly, respectfully, and effectively to patients, families, and staff.
  • High emotional intelligence with the capacity to balance empathy and firmness when addressing sensitive situations.
  • Ability to thrive in a fast-paced environment, multitask effectively, and prioritize competing demands.
  • Proactive problem-solver who takes ownership of front desk challenges and follows through to resolution.
