A New York City based nonprofit is seeking a Payroll Specialist. The organization supports thousands of individuals each year through a wide range of integrated services designed to help people learn, work, and live as independently as possible.

The Payroll Specialist is responsible for accurate and timely payroll processing across a multi site organization. This role partners with the Payroll Manager, HR, Finance, and departmental staff to ensure proper timecard approvals, resolve payroll discrepancies, and maintain compliance with payroll policies and regulations.

Key Responsibilities

    • Process and validate employee timecards, including missed punches and approvals.
    • Manage payroll edits and adjustments within the payroll system (Paycom).
    • Process special payments such as stipends, bonuses, and retroactive pay.
    • Maintain deductions, garnishments, and other payroll changes.
    • Audit payroll data for accuracy, compliance, and timely completion.
    • Work with HR, Finance, and site administrators to resolve payroll discrepancies.
    • Ensure compliance with federal, state, and local payroll regulations and internal policies.
    • Support payroll reporting, audits, quarterly and annual reconciliations, and year end processing.
    • Assist with system testing, upgrades, and integrations; coordinate with Paycom support.
    • Respond to employee payroll inquiries and support SOP development.
    • Provide backup payroll processing when needed.


Qualifications

Minimum Requirements

  • Proficiency with payroll systems (Paycom or comparable) and strong Excel skills.
  • Knowledge of payroll regulations, compliance standards, and best practices.
  • Strong organizational skills, attention to detail, and follow up ability.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Effective communication skills with the ability to work across departments.
  • Experience with both union and non union payroll preferred.

Education

  • Bachelor’s degree in finance, accounting, or a related field required.
