Payroll Administrative with Executive Assistant responsibilities for a large commercial contractor 

Work Schedule - 8am-5pm Monday-Thursday – 30 hours a week to start, could move into full time with increased responsibilities.

Pay - $26.00-$27.00 / hour

The company we are hiring for was Founded in 1988, this merit-based, employee-owned organization has grown through hard work, principled business practices, and a relentless pursuit of excellence. Over the years, it has expanded to provide General Contracting and EPC contracting services on a national scale. Typical projects include water treatment facilities, bridges, marine terminals, and renewable energy plants producing RNG, hydrogen, electricity, and other sustainable energy solutions.

 

Primary Responsibilities of Payroll Administrator 50%:

  • Collect, verify and enter timecards on weekly basis for company
  • Work with project staff to determine whether employees are classified correctly
  • Apply fringe benefits correctly, maintain accurate records
  • Maintain accurate payroll records
  • Respond to all audits and wage compliance investigations
  • Correct any payroll discrepancies in timely and professional manner
  • Provide labor compliance documentation for project closeout
  • Assist with union reporting and dues when applicable
  • Maintain updates to prevailing wages determinations both state and federal
  • Stay compliant with labor laws in applicable states
  • Coordinate with human resources and project teams to collect accurate information for all employees to maintain up to date information

Primary Responsibilities of Executive Role 50%:

  • Manage executive email, calendar, scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact for the executive, ensuring timely communication and follow-up.
  • Prepare, proofread, and edit correspondence, reports, and presentations.
  • Coordinate and prepare materials for internal and external meetings; record and distribute meeting minutes.
  • Handle all confidential and sensitive company information with the utmost discretion.
  • Support executive initiatives and special projects, ensuring deadlines and priorities are met.
  • Maintain organized filing systems (digital and physical) and ensure information is easily accessible when needed.
  • Communicate professionally with internal teams, clients, and business partners on behalf of the executive.
  • Anticipate the executive’s needs and proactively identify opportunities to improve efficiency and effectiveness.
  • Assist in planning and supporting company meetings, events, and leadership functions.

Requirements:

  • High school diploma: associates degree or coursework in accounting/business/payroll preferred
  • Minimum 3 years’ payroll experience, experience with Prevailing Wage strongly preferred
  • Working knowledge of State prevailing wage law (OR and WA) and/or Federal Davis-Bacon, wage determinations, fringe benefit calculations, strongly preferred
  • Excellent written and verbal communication abilities and Demonstrated ability to manage multiple priorities
  • Detail-oriented, strong organizational skills, ability to manage deadlines weekly and monthly, strong communication skills, ability to coordinate with multiple stakeholders
  • Strong computer skills, proficiency in Microsoft Office, Viewpoint Spectrum, HeavyJob
  • Must have the ability to meet required deadlines
  • Integrity, trustworthiness due to handling sensitive data
