Operations and Logistics Coordinator

Sparks Group has partnered with a respected nonprofit organization that advances and disseminates science for public benefit to identify an experienced and highly organized Operations and Logistics Coordinator. The Operations and Logistics Coordinator plays a key role in ensuring smooth daily operations across HR, accounting coordination, vendor management, office administration, travel planning, and event logistics (domestic and international). The ideal candidate is proactive, organized, resourceful, and comfortable working in a small, collaborative nonprofit environment.
Responsibilities:
Human Resources Support
- Manage hiring processes: posting job advertisements, screening, and interviewing.
- Support onboarding and off-boarding processes.
- Coordinate annual health benefits selections:
- Medical, Dental, Vision, Health Savings Accounts.
- Maintain employee HR documentation and support general HR workflows.
- Manage check approvals and basic accounts payable support.
- Process reimbursements, pay vendors, and assist with credit card tracking.
- Support accounts receivable: basic banking, preparing/checking deposits.
- Work with the external accounting firm to reconcile outgoing bank amounts.
Operations Administration & Office Management
- Oversight of daily office operations and facility needs.
- Maintain and update the organization’s contracts database.
- Identify, select, and manage vendors for:
- Office moves
- Phones
- Internet/IT services
- Office supplies
- Coordinate with the property management company.
- Manage company business insurance policies: identify needs and maintain renewals.
- Support retirement account administration:
- Communicate annual changes to staff
- Inform outsourced accounting firm of account updates
Logistics & Event Coordination (Domestic and International)
- Plan and coordinate workshops, conferences, and symposia.
- Manage travel logistics:
- Hotel research and selections
- Contract review
- Hotel reservations
- Airline reservations
- Ground transportation
- Coordinate vendor selections for events:
- Food & catering
- Meeting room arrangements
- Audio/visual services
- Bachelor’s degree or equivalent experience.
- Prior experience in nonprofit operations, logistics, HR support, or administrative coordination preferred.
- Strong organizational skills with the ability to handle multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Comfort reviewing contracts, managing vendors, and supporting financial processes.
- High attention to detail and strong follow-through.
- Proficiency with office technology, basic financial tracking, and travel booking tools.

This job is Hybrid Remote.
Pay Range: Hourly $38.00 to $46.00
