Operations Administrative Assistant

Pay Rate: $19–$21/hour
Schedule: Monday–Friday, 8:30 AM – 4:30 PM
Work Model: Full-time | Onsite
Status: Temp-to-Hire


Position Summary

The Operations Administrative Assistant supports daily operations, scheduling, permitting, and customer service functions in a fast-paced environment. This role works closely with Operations leadership, Project Management, and Purchasing to ensure smooth workflow, accurate documentation, and effective communication across teams.


Key Responsibilities

  • Provide administrative support to the Operations team

  • Deliver professional customer service via phone and email

  • Schedule measurement and installation appointments

  • Perform all aspects of permitting

  • Prepare daily installer folders and job documentation

  • Complete scanning, filing, and data entry tasks

  • Coordinate with vendors to obtain PO confirmations and ETAs

  • Assist with preparation for company meetings and events

  • Serve as a Notary Public (assistance provided to obtain certification)


Required Qualifications

  • Minimum 5 years of administrative experience

  • Minimum 5 years of customer service experience

  • Strong organizational skills and high attention to detail

  • Proficient with computers and Microsoft Office

  • Excellent time management and multitasking abilities

  • Ability to work independently with minimal supervision

  • Strong written and verbal communication skills

  • Professional, team-oriented, and service-driven

  • Clean background required (background check conducted)


Preferred Qualifications

  • Permitting experience (3+ years preferred)

  • Scheduling experience (3+ years preferred)


Education

  • High school diploma or equivalent (preferred)
