Description

Under the direction of the Onboarding Manager, The Onboarding Specialist is responsible for ensuring a smooth and compliant hiring experience by managing and processing all pre-employment requirements. This role focuses on conducting thorough background reviews, verifying documentation, and ensuring candidates meet all regulatory, organizational, and client-specific compliance standards prior to their start date. The Onboarding Specialist serves as a liaison between candidates, hiring leaders, and third-party vendors to resolve discrepancies, monitor progress, and maintain accurate records. By overseeing background processing with attention to detail and timeliness, the Onboarding Specialist plays a critical role in supporting the organization's hiring goals while upholding compliance, quality, and candidate experience. The Onboarding Specialist provides support and assistance with administrative and transactional activities in support of the new hire onboarding process. KEY RESPONSIBILITIES: + Perform all duties and tasks of the Onboarding Specialist role, as required, and perform other duties as assigned or needed to support the broader TA department. + Monitor and process background check results for clearance; coordinate follow-up on results, if applicable. + Ensure compliance in all tasks and confirm all hiring / regulatory documentation is received and properly maintained. + Follow team standard operating procedures; Perform required tasks in accordance with established service level agreements (SLAs). + Health assessment scheduling while providing excellent customer service. + Assist with communication and correspondence with key constituents. + Act as resource for new hires by providing Onboarding information, ensuring awareness of onboarding tasks and answering questions. + Ensure new hires move through Recruitment and HR system Onboarding steps. + Identify potential gaps in minimum requirements, if applicable, and identify and communicate issues or opportunities for efficiency. + Prepare and maintain regular onboarding reports + Travel: Less than 10% of the time may be required. MINIMUM QUALIFICATIONS: + Bachelor's degree - specifically Human Resources, Organizational Development, or related emphasis, and two years of office or administrative experience. PREFERRED QUALIFICATIONS: + Experience in Human Resources or Recruitment is preferred. NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
