Position Summary:

Our Denver, CO office has the opportunity for an experienced Office Services Coordinator to join the Firm’s expanding practice. The Office Services Coordinator supports the delivery of high-quality legal services by providing comprehensive administrative, copy center, mailroom, facilities, and reception support. This role works collaboratively with attorneys, paralegals, secretaries, the Office Administrator, and vendors to ensure efficient daily office operations and an exceptional client experience.

This is a highly visible, service-oriented position that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.

 On a day-to-day basis, the Office Services Coordinator generally works under the direction of the Office Administrator. This position supports the delivery of quality legal services to clients by providing Copy Center, Office Services, and Hospitality assistance to attorneys, paralegals, and secretaries, as well as clients, and by working collaboratively and cooperatively with others in a team-oriented environment. Additionally, the Office Services Coordinator is responsible for ensuring the Copy Center/Mail Room runs efficiently by directing, controlling, and prioritizing daily workflow; coordinating training; and overseeing quality control of tasks. 

Essential Functions:

Reception & Client Services

  • Greet clients and visitors; maintain a clean and welcoming reception area
  • Maintain conference room calendars and assist with scheduling
  • Coordinate conference room setup and breakdown for meetings, depositions, and events
  • Order meals for meetings and assist with event setup (on-site and occasional off-site support)
  • Maintain parking validation logs and visitor amenities

Mail, Shipping & Records

  • Process and distribute incoming/outgoing mail, FedEx, UPS, and messenger deliveries
  • Coordinate daily mail and courier pickups
  • Maintain postage, fax, and cost recovery logs (copies, fax, parking validations)
  • Maintain central file room and off-site records, including inventory, boxing, scanning, database updates, and retrieval coordination
  • Create file labels and assemble physical files

Copy Center & Equipment Support

  • Assist with photocopying, scanning, and document production requests
  • Stock printers, copiers, and fax machines with paper and toner
  • Clear paper jams and provide basic user support
  • Coordinate copier repairs and meter readings with vendors

Requirements:
  • High school diploma required
  • Strong customer service and interpersonal skills
  • Excellent written and verbal communication skills
  • Ability to read, respond timely/accurately to and organize a high volume of emails 
  • Ability to relay information promptly and accurately 
  • Ability to work on multiple tasks 
  • Good organizational skills including filing and calendaring 
  • Ability to keep work area organized and tidy 
  • Knowledge of basic legal terminology preferred
  • Strong organizational and time management skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong proofreading and typing skills
  • Time management skills and ability to work independently as well as with a team
  • Regular, predictable, and punctual attendance required
Benefits:

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $49,200 and $73,800.
