Role Summary
The Office Manager will provide essential operational, administrative, and accounting support to a growing team. This role oversees onboarding and offboarding activities, manages core office functions, and supports key accounting processes including AP, AR, invoicing, and payroll assistance.
You will serve as a central resource for both leadership and staff, ensuring smooth day-to-day operations and maintaining organized, efficient systems across the business.
Key Responsibilities
- Coordinate onboarding and offboarding processes including systems access, documentation, and workflow setup
- Administer employee benefits and support ongoing HR-related tasks
- Manage AP, AR, invoicing, and routine bookkeeping duties using accounting software
- Assist with payroll processing on a bi-monthly cycle
- Maintain office supplies and coordinate orders with approved vendors
- Monitor general company email accounts and route inquiries appropriately
- Reconcile bank and credit card accounts and maintain accurate records
- Run internal system reports and maintain organized digital files
- Collaborate with external accounting and bookkeeping partners as needed
- Support approximately forty employees across multiple functions
Key Requirements
- Strong working knowledge of QuickBooks or similar accounting software
- Proficiency with Microsoft Office including Word, Excel, and Outlook
- High computer literacy and ability to navigate multiple systems and digital tools
- Experience assisting with payroll, bank reconciliations, and basic accounting
- Familiarity with electronic signature tools such as DocuSign
- Strong organizational skills with the ability to manage several priorities concurrently
- Professional communication skills and the ability to interact with employees at all levels
- Flexibility and willingness to shift tasks quickly when operational needs arise
