Position Overview

Info-graphics is seeking a dependable and detail-oriented Office Manager to support day-to-day operations and help keep the office running smoothly. This is a hands-on, in-office role focused on organization, coordination, and basic administrative and financial support. The ideal candidate is proactive, positive, and enjoys supporting a small, collaborative team.


Key Responsibilities


Office & Administrative Support

  • Maintain day-to-day office operations and organization
  • Manage office supplies, snacks, and general office upkeep
  • Serve as point of contact for office vendors, building management, and maintenance needs
  • Assist with scheduling, meeting coordination, and team logistics
  • Help ensure a clean, organized, and welcoming office environment


Accounting Support (Light)

  • Assist with accounts receivable (AR), including invoicing and tracking payments
  • Assist with accounts payable (AP), including entering bills and processing payments
  • Help track past due invoices and follow up as needed
  • Maintain accurate records in Zoho Books
  • Support month-end close in coordination with the external accountant


Team & Culture Support

  • Coordinate company events, team outings, and internal gatherings
  • Support logistics for team meetings, lunches, and all-hands
  • Assist with onboarding new employees (setup, scheduling, basic paperwork)
  • Help maintain a positive and organized team environment


General Operations Support

  • Assist with maintaining internal systems (CRM, project tools)
  • Coordinate with external vendors for IT, office, and subscription needs
  • Help track office equipment and support basic procurement
  • Support documentation and organization of internal processes
  • Partner closely with ownership on growth initiatives
  • Provider operational insight and recommendations

 

Qualifications

  • 3–5 years of experience in an office manager, administrative, or operations support role
  • Comfortable with basic accounting tasks (AR/AP, invoicing, payments)
  • Strong organizational skills and attention to detail
  • Proactive and able to manage multiple priorities
  • Positive, team-oriented attitude
  • Strong communication skills
  • Experience with Zoho, QuickBooks, or similar tools is a plus
  • Experience with creative services is a plus
