Position Overview:

The Office Manager I provides foundational administrative and operational support for a branch office within our engineering and environmental services network. This entry-level leadership role focuses on daily administrative tasks, basic reporting, employee recordkeeping, and supporting branch efficiency while learning company processes and systems.

Responsibilities:

 

  • Maintain office productivity, supply ordering, equipment maintenance, event planning, and policy compliance.
  • Prepares invoices, proposals, and reports, and supports collection processes, as needed.
  • Tracks and verifies gasoline card expenditures and credit card expenses for branch personnel.
  • Supports employee selection and onboarding; Ensures proper completion of new hire paperwork.
  • Collects, records, and forwards personnel records, transactions, and documentation to HR and/or Payroll.
  • Supports benefit plan enrollment at the site level.
  • Responds and/or investigates employee inquiries regarding policies, procedures, and programs.
  • Handle incoming and outgoing correspondence, including emails, letters, and packages.
  • Create regular reports, correspondence, and presentations.
  • Greet visitors, answer and direct phone calls, and provide general information.
  • Communicate with internal and external partners and vendors, as needed.
  • Other duties may be assigned. 

 

Qualifications:

  • High school diploma with 3–5 years of administrative experience (or equivalent).
  • Proficiency with Microsoft Office and basic collaboration tools.
  • Strong attention to detail and communication skills.
  • Ability to maintain confidentiality and multitask in a dynamic environment
  • Familiarity with administrative practices in professional services preferred.
Travel Requirements:

This position does not require regular travel as part of its primary responsibilities. However, occasional
travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or
company events. Travel, when necessary, will be communicated in advance and aligned with business
needs.

Physical Demands & Work Environment:

 

  • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
  • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
  • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
