Job Overview:
As an Office Manager, this position requires a strong background in office operations, computers skills and customer service, and will provide strong support to the Operations Manager and property management team.
Your Responsibilities:
- Receive and direct incoming calls for the St. Petersburg Regional Office.
- Greet visitors and clients upon their arrival.
- Receive, sort and distribute all incoming mail on a daily basis, process all outgoing mail on a daily basis and process all incoming packages and prepare outgoing packages, including weekly courier deliveries, maintain record of all outgoing and incoming courier packages.
- Scanning and upload of various documents.
- Order office supplies.
- Order associates supplies including business cards, name tags, uniforms and ID badges.
- Schedule and maintain calendar for conference calls and meetings.
- Maintain professional appearance in all office common areas including but not limited to reception area, conference rooms, copies and postage work stations, hallways and break room.
- Build and maintain working relationship with office and field associates.
- Support Operations Manager in maintaining all office operations and assisting with preparation of meetings and events, working with IT to coordinate updates, upgrades, repairs, etc., coordinating office repairs and maintenance, compliance tracking, and property transitions.
- Manage billing, invoices, coding and approval processes, distinguishing between regular vendors, P card reconciliation, and FedEx.
- Extract various reports from property management platforms to facilitate financial analysis and decision-making.
- Manage and send monthly newsletter.
Skills & Qualifications:
- Associates degree in business administration, management, or related field preferred.
- Requires a minimum of two (2) years of general administrative experience.
- Effective written and verbal communication skills.
- Strong customer service skills.
- Exceptional organization and time management skills.
- Ability to work independent and collaboratively in a fast-paced environment.
- Flexibility to adapt to changing priorities and multi-task effectively.
- Strong attention to detail.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to multi-task.
- Ability to work earlier or later than scheduled shift from time to time in order to assist in the preparation of a meeting, event or to assist in the completion of a project.
Physical Requirements:
· Physical demands include ability to lift up to 50 lbs.
· Standing, sitting, walking and occasional climbing.
· Required to work at a personal computer for extended periods of time.
· Talking on the phone for extended periods of time.
· Ability to detect auditory and/or visual emergency alarms.
· Ability to work extended/flexible hours, weekend, and attend Board meetings as required.
· Driving when necessary.

· Schedule: Monday through Friday, 8:30am-5pm

Compensation: $23 - $25 per hour
