Key Responsibilities

  • Oversee daily administrative operations, ensuring efficient office workflow and support for production teams.
  • Manage office supplies, equipment maintenance, and vendor relationships for office services.
  • Coordinate new employee onboarding paperwork and maintain personnel records for all staff.
  • Process invoices, expense reports, and manage petty cash, liaising with accounting for financial reconciliation.
  • Ensure office compliance with health and safety regulations and maintain essential company records and permits.
  • Manage internal and external communications, including phone systems, mail, and visitor reception.

Recommended Qualifications

  • 3+ years of experience in an office management role, preferably within a manufacturing or industrial environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office management software.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Demonstrated ability to manage budgets, process invoices, and handle basic bookkeeping tasks.
  • Strong interpersonal and communication skills for effective interaction with staff, vendors, and clients.

Bonus Qualifications

  • Experience with ERP systems (e.g., SAP, Oracle) in a manufacturing context
  • Familiarity with manufacturing safety protocols (e.g., OSHA) or quality standards (e.g., ISO)
  • Ability to assist with basic inventory management for plant consumables or MRO supplies
  • Understanding of production schedules and manufacturing workflows
