APPTIUM is looking for a reliable and organized Office Assistant to oversee daily office operations, manage administrative tasks, and support internal events. This role is essential in ensuring a smooth-running, welcoming, and well-equipped workplace for both employees and visitors. The ideal candidate is proactive, detail-oriented, and enjoys working in a collaborative environment. This is an hourly, full-time role, with a minimum of 30-hours per week.


KEY RESPONSIBILITIES

  • Maintain office cleanliness and organization, including common areas, workstations, and meeting spaces.
  • Manage mail and deliveries, ensuring timely distribution and follow‐up.
  • Monitor and restock office supplies; coordinate maintenance requests and interact with building management or vendors as needed.
  • Manage workshops and events setup, including catering and materials.
  • Assist with planning quarterly company social events.
  • Greet and support visitors to ensure a welcoming, professional experience.
  • Assist with new‐hire onboarding tasks such as workstation setup, badges, and office orientations.
  • Perform administrative tasks such as filing, data entry, document preparation, scanning, and maintaining records.
  • Provide general support to employees and direct inquiries to appropriate departments.
  • Help with travel arrangements, expense submissions, and administrative tasks for leadership when required.
  • Update internal documents, directories, and shared files.
  • Schedule meetings, reserve conference rooms, and assist with calendar coordination.
  • Prepare basic reports, spreadsheets, and written correspondence as directed.
  • Support company initiatives, team events, and cross‐functional projects requiring administrative coordination.

QUALIFICATIONS & SKILLS

  • High school diploma required; associate’s or bachelor’s degree preferred.
  • 1–2 years of administrative or office support experience.
  • Strong organizational skills and high attention to detail.
  • Effective written and verbal communication skills.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to multitask, prioritize, and work independently.
  • Professional, friendly, and customer‐service oriented.
