Job Title: Practice Coordinator (Call Center)

Job Location: ACC Call Center (Hybrid – Predominantly Remote; Minimal On-site for equipment deployment)
Working Hours: Monday–Friday | 8:00 AM–4:30 PM or 8:30 AM–5:00 PM (No weekends)
Contract Duration: 13 weeks (ASAP start upon compliance completion; extension possible)
Department: Patient Service / Call Center

Position Summary:

The Practice Coordinator is responsible for delivering high-quality patient support via call center operations. This role manages patient scheduling, coordination, and frontline communication as a Patient Service Representative. Strong computer and multitasking skills are essential to succeed in a hybrid environment while managing patient needs with professionalism and accuracy.

Candidate Prioritization Criteria:

  1. Fully compliant and APeX trained

  2. APeX trained and partially compliant

  3. Previously employed at UCSF and not compliant

  4. Meets job qualifications but not APeX trained or compliant

Key Responsibilities:

• Handle high-volume patient calls (approx. 50 calls/day) for scheduling, inquiries, and service coordination
• Navigate multiple patient record systems and APeX (EPIC) to schedule appointments and update information
• Provide exemplary customer service and patient support in a call center environment
• Perform PC2/Patient Service Representative duties including data entry, documentation, and patient communication
• Collaborate with clinical teams to escalate patient needs appropriately
• Maintain productivity while sitting at a workstation with telephone headset for extended periods

Required Qualifications & Skills:

• High school diploma or equivalent with 4 years of related experience, OR college degree with at least 6 months of related experience
• Strong computer skills and proficiency with at least two Office applications (Outlook, Word, Excel)
• Ability to navigate multiple electronic health record systems effectively
• Strong typing, data accuracy, organization, and communication skills
• Ability to handle extended computer and phone work

Preferred Qualifications:

• APeX (EPIC) trained – high priority
• Prior UCSF experience
• Previous Call Center or Patient Service Representative experience in a healthcare setting

• Accurate navigation and documentation within APeX and patient record systems
• Strong multitasking and problem-solving skills
• Ability to remain composed in fast-paced or high-volume settings
• Team collaboration in hybrid work environments
