Job Description
The Junior Merchandise Assistant supports 2–4 Buyers and an AVP, Merchandise Manager, providing administrative, clerical, and operational support within a high-volume retail buying environment. This role interfaces with 50+ domestic and international vendors, manages purchase orders, supports merchandise operations, and assists with vendor communication, reporting, and special projects.
This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced retail setting.
Key Responsibilities
Purchase Orders & Merchandising Operations
- Prepare and maintain domestic and import purchase orders using the Buyer Worksheet application
- Review, revise, and track electronic POs daily following established PO change processes
- Ensure accuracy and integrity of ASN/EDI PO data and follow up with vendors as needed
- Partner with Planning & Allocation to expedite PO entry and ensure timely processing
- Pull weekly late lists and follow up with vendors on delayed shipments
- Coordinate shipping extensions, cost renegotiations, and PO revisions with Buyer approval
- Assist with shipment issue resolution including over/under shipments and chargebacks
Vendor Communication
- Communicate daily with vendors via phone and email regarding POs, allocations, and problem resolution
- Maintain and enhance strong vendor relationships
- Screen incoming calls and manage vendor inquiries, appointments, and allocation questions
- Update vendor contact and database information as needed
Reporting, Samples & Office Support
- Create and maintain spreadsheets to track weekly spend and reporting metrics
- Organize weekly buyer reports including Buyer Control File and On-Order Inquiry
- Coordinate travel arrangements for 2–5 merchants, including itineraries and market appointments
- Support vendor and agent visits at the home office
- Manage sample tracking, displays, binders, and sample room organization
- Assist with pre-production and production sample processes
- Support Sarbanes-Oxley (SOX) compliance by obtaining required Buyer and AVP signatures
- Perform special projects such as spend grids, selling reports, and ad-hoc analysis
Required Skills & Experience
Required:
- Strong administrative and organizational skills
- Ability to manage multiple priorities in a deadline-driven environment
- Proficiency with Microsoft Excel and spreadsheet tracking
- Strong written and verbal communication skills
- Ability to interface professionally with vendors and internal stakeholders
Preferred:
- Experience in retail merchandising, buying offices, or procurement support
- Experience working with purchase orders, vendor follow-ups, or allocations
