SUMMARY

The Material Coordinator III is responsible for the daily execution and communications to warehouse staff, and constantly monitors customer communications and service levels. They can lead a team of CSRs who are responsible for providing operational support at the warehouse location to ensure efficient and timely pick-up and delivery, handling of customer orders, and shipments. They are responsible for providing the highest level of customer service, while also supporting the Operations team.

ROLE AND RESPONSIBILITIES

Provides the highest quality service for overall customer satisfaction Deals with customer complaints and suggestions immediately Adheres to customer requirements Provides response to all customer/supplier inquiries Reviews Client Delivery ratings and records actions taken for corrections Sees to it that operational and quality procedures for customer service functions are maintained. May collaborate with CI\Quality team on documents for other warehouse functions Actively improves services provided and continuously streamlines and improves customer service related functions Ensures proper reporting of KPI's Supports Operations/ Facility Management in facility goals Promote a culture of service excellence, collaboration, building trust and responsiveness within the CSR team and the operation Develop weekly production schedule based on customer demand

Responsible for all new part, supplier and OEM setups in WMS

Participates in 8D report preparation when required

Assists in tracking billable hours via special services sheets

Assists with client billing

Review client web portal for updated information and input data into the client web portal

Interfaces with carriers and sets up pickups/deliveries as needed

Assists in the preparation of shipping documents

Maintains records as assigned

Answers incoming calls/emails into the facility

Ensures the timeliness and accuracy of ASN's for outgoing shipments

Responsible for ensuring all necessary paperwork is sent to the customer on a daily basis

Provides responsive communication with customers as needed

Supports facility personnel to ensure the assigned duties are performed

Communicates late deliveries, order changes, missed information and tracking numbers to customers as needed

Provides responses and/or details on shipments/receipts in customer's systems, and reports as required

Attends QOS meetings as required

Responsible for data entry/manipulation

Assist with daily cycle counts and order discrepancies to ensure orders close properly

Create order pick tickets to ensure FIFO procedures are followed

Performs empty rack counts to ensure production goals can be achieved

Manages overall flow of material into and out of the facility

Tracks Warehouse Utilization to prioritize hot material shipments

Transfer damaged or obsolete material to quarantine daily for accurate shortage reporting

Ensure proper reporting of KPI's

Responsible for sending daily shortage reports to manufacturing plants

Communicates all EDI errors to management and IT immediately

Supports receiving and production teams as needed

Assists with training new material coordinators as needed

JOB SKILLS AND SPECIFICATIONS

Attention to Detail/Quality while managing multiple clients warehousing and distribution needs to ensure superior and expeditious execution of customer requirements.

Interpersonal Communication Skills to serve as the primary liaison between the warehouse and AEL-Span customers.

People/Relationships/Teamwork.

PHYSICAL REQUIRMENTS

Able to sit/stand for extended periods of time

Able to lift up to 50 pounds

Requires continuous standing, lifting, bending, reaching and stooping throughout each shift. Some assignments may involve continuous repetitive motions.



QUALIFICATIONS AND REQUIREMENTS

General Qualities Intermediate service, production, or support role having greater responsibility to perform all (or most) of the standard work within the function.

Minimum 3 years of experience leveraging technology to perform daily tasks, including strong familiarity with MS Office applications (in particular Exchange, Word & Excel), web navigation & basic hardware functions.

Proven track record of taking initiative to accomplish tasks in creative ways with a sense of urgency and assertiveness .

Education and Experience Must be able to read, write and comprehend English. High school diploma or GED equivalent. Warehousing knowledge. Computer literate: basic inventory control system, Microsoft products, email, etc. Prior knowledge of domestic services within the logistics industry.

Knowledge and experience with quality systems.
