About the role

The Marketing Operations Coordinator provides operational and administrative support to the National Marketing Manager, helping ensure campaigns, field programs, and internal communications run smoothly across the Timeless House of Brands.

This role focuses on project management, coordinating marketing processes, organizing brand assets, supporting internal communications, and assisting with campaign deployment across HQ and Field teams.

Responsibilities

Campaign & Field Support

  • Assist the National Marketing Manager in preparing campaign launch materials and field toolkits
  • Assist the National Marketing Manager in regional newsletter scheduling and execution
  • Coordinate distribution of campaign assets to Field Marketing Managers
  • Support logistics for in-store activations, brand launches, and promotional programs
  • Help track campaign rollout progress across markets
  • Maintain calendars and timelines for national campaign launches

Asset & Brand Management

  • Own ClickUp and project management across the brand team's creative deliverables
  • Maintain and organize assets within Brandfolder and internal marketing systems
  • Ensure field teams have access to the most current campaign assets and brand materials
  • Assist with Canva template management and brand asset distribution
  • Coordinate updates to product education decks and marketing toolkits

Internal Communications

  • Support the preparation and scheduling of internal marketing newsletters and communications
  • Assist in organizing content for national field team calls and updates
  • Help maintain FAQs, SOPs, and marketing documentation
  • Support communication between HQ marketing and field teams

Timeless Academy Support

  • Assist with development and distribution of:
    • Education decks
    • Budtender training materials
    • Knowledge quizzes
    • Certification content
  • Track participation and completion metrics for the Timeless Academy program
  • Maintain records of training materials and education resources

Marketing Operations Support

  • Monitor marketing submission queue and ensure requests are routed to appropriate team members
  • Track event reports, campaign adoption, and field engagement metrics
  • Assist with updating ClickUp tasks and campaign project boards
  • Support the coordination of marketing calendars and deliverables
  • Help compile insights for Monthly Market Reviews and reporting
  • Manage Consumer Relations inbound and resolutions

Candidate Qualifications

Skills

  • Strong organizational skills and attention to detail
  • Comfortable managing multiple tasks and deadlines
  • Strong communication skills and willingness to learn in a fast-paced environment.

Prior Work Experience

  • 2-3 years of experience in:
    • Marketing coordination
    • Brand operations
    • Event marketing
    • Communications
    • Marketing administration
  • Experience within CPG, lifestyle brands, or cannabis preferred.

Technical / Systems Experience

  • Hands-on experience with:
    • Google Workspace
    • Canva 
    • ClickUp or Project Management Tools
    • Email Marketing Platforms
