Overview
Seeking a skilled Event Specialist to support the Marketing & Communications Department's Brand & Events Team. This contractor will work closely with the Manager of Brand & Events, helping plan, coordinate, and execute corporate events across the U.S.
This role is ideal for someone who is highly organized, detail-oriented, and comfortable managing multiple events simultaneously—from technical conferences and industry tradeshows to internal meetings, awards ceremonies, and executive events.
Key Responsibilities
Event Planning & Execution
Plan, coordinate, and execute internal and external corporate events across the U.S.
Build and manage event budgets, ensuring accurate cost tracking and approvals.
Source and manage vendor relationships (venues, caterers, hotels, restaurants, industry organizations, etc.).
Develop and maintain detailed event timelines (contracts, payments, marketing materials, catering, logistics, and procurement).
Oversee execution of all event deliverables and provide post-event data, metrics, and reporting.
Collaboration & Communication
Serve as a primary point of contact for internal stakeholders, vendors, and team members.
Communicate event status, milestones, and updates clearly and professionally.
Support event owners and sponsors to ensure a seamless experience for all participants.
Marketing Logistics
Maintain inventory and directory of marketing giveaways, branded items, and department supplies.
Support development of event-related marketing materials as needed.
Qualifications
Bachelor's degree in Marketing, Business Administration, Project Management, or a related field (preferred).
2+ years experience in event planning, marketing coordination, or conference management.
Demonstrated success supporting corporate events or tradeshows.
Strong organizational and project management abilities with excellent attention to detail.
Outstanding written, verbal, and interpersonal communication skills.
Ability to multitask and meet deadlines in a fast-paced environment.
Proficiency in Microsoft Office; experience with marketing/event tools ideal.
Familiarity with project management tools such as Monday.com (preferred).
Experience managing budgets, vendors, and basic financial components of events.
Ability to occasionally lift/move up to 30 lbs.
Ability to travel domestically (10–15%).
Must work at least 3 days per week onsite at TEL's downtown Austin office overlooking Lady Bird Lake.
Work Model
Hybrid schedule. This role requires regular onsite collaboration (minimum 3 days/week).
