Marketing & Office Assistant Job Description:
PrideStaff is recruiting for a Marketing and Office Assistant position. The Marketing and Office Assistant will perform a variety of tasks including, administrative, shipping, vendor management and accounting support. The ideal Marketing and Office Assistant has previous experience in an administrative or accounting role, demonstrates excellent communication, organizational and time management skills. The Marketing & Office Assistant is a full-time, temp to hire / direct hire position in Penfield, NY.
Marketing & Office Assistant Duties & Responsibilities:
Maintain & Track Inventory Levels of Branded Merchandise & Reorder Items as Needed
Research New Vendors & New Items to Add to Our Inventory
Coordinate Swag Kits For Events, Customers, & Internal Needs
Work With Vendors on Ordering, Packaging, Shipping & Pack Giveaways For Trade Shows & Events
Coordinate Travel For Trade Shows & Events, Collect All Necessary Receipts For Accounting Needs
Register Salespeople For Shows & Communicate Relevant Registration Information
Assist Marketing Director in Managing Event Checklists & Deadlines
Work With Logistics to Pack For Show Based Off Checklist From Marketing Director, Work to Replace or Augment Anything That's Missing From The List
Support Post-Event Logistics Like Adding Leads to Netsuite & Hubspot & Sending Any Requested Swag to Key Contacts Made at Shows
Coordinate Printing of Any Show-Specific Signage or Handouts
Proofread Marketing & Sales Collateral Before it Goes to Print
Oversee Day-to-Day Activities of The Office Including: Answering Calls, Greeting Customers in a Professional Manner, Ensure The Office is Organized & Maintained, Plan & Coordinate on-Site Meetings, Lunches & Employee or Company Events
Coordinate Travel For Employees, & Make Arrangements/Reservations For Air, Car Rental, & Hotels
Maintain Company Calendar in Outlook
Provide Consistent Updates to Management Regarding Completed Tasks & Ongoing Responsibilities
Work as Back-up Resource in Accounting to Monitor Accounting Emails, Accounts Payable-Process Invoices, Accounts Receivable-Process Invoices, Email to Customers, Conduct Collection Activities, Audit & Update Customer & Vendor Records in NetSuite
