The Facilities Supervisor is responsible for safe, compliant, and cost-effective operation of a 60,000 sq ft office/warehouse/dispensing pharmacy facility. This is a hands-on leadership role that manages day-to-day facility needs while implementing best practices in preventive maintenance, life/safety compliance, vendor management, physical security, and business continuity. The role is expected to increase in-house capability by completing routine repairs and upgrades currently outsourced (e.g., lighting retrofits, basic HVAC/refrigeration maintenance support, and basic automation preventive maintenance), while ensuring licensed work is performed appropriately when required.
Hours are Mon-Fri 8am-4:30pm ET hours with the ability to respond to after hours emergencies as needed.
Responsibilities:Essential Duties & Responsibilities
Facility Operations & Preventive Maintenance
- Own and execute a comprehensive preventive maintenance (PM) program for building systems and critical equipment (HVAC, refrigeration, docks/doors, compressors, electrical panels, lighting, plumbing, roof/drainage, etc.).
- Maintain documentation for inspections, PMs, and repairs; ensure strong audit-ready records and work order history.
- Develop and manage a facilities work plan to minimize downtime and prevent reactive “break/fix” operations.
- Establish/maintain facility standards for cleanliness, safety, organization (5S where applicable), and equipment uptime.
Hands-On Maintenance & In-House Work Execution
- Perform or lead in-house completion of routine facility tasks where safe and appropriate, such as:
- Fluorescent-to-LED fixture replacements, ballast bypass/fixture swaps where applicable
- Minor electrical/mechanical repairs (within competency and safety/code requirements)
- Basic plumbing and carpentry repairs
- Basic HVAC/refrigeration support tasks (filters, belts, coils, drains, visual inspections, basic troubleshooting) and coordination with licensed vendors for regulated repairs
- Basic automation preventive maintenance support (cleaning, lubrication, inspection, simple adjustments) in coordination with Operations/Engineering and OEM requirements
- Ensure lockout/tagout practices and safe work methods are followed.
Life Safety, Compliance, and Readiness
- Own the site’s life/safety readiness in partnership with EHS/Compliance: fire alarms, sprinklers, extinguishers, emergency lighting, exits/egress, AEDs/first aid stations, and evacuation drills.
- Coordinate required inspections and corrective actions; track deficiencies to closure.
- Support a regulated pharmacy environment by ensuring facility/security controls remain reliable and documented (e.g., access control uptime, camera coverage continuity).
Security Systems, Access Control, and Monitoring Vendors
- Serve as site owner for physical security and monitoring systems, including:
- Badge/access control system
- CCTV/camera vendor
- Temperature monitoring sensors and alerting workflow support (warehouse/pharmacy/reefer areas as applicable)
- Coordinate vendor support, escalation, and service-level expectations; validate completion and quality of work.
Critical Infrastructure & Business Continuity
- Maintain readiness for critical systems: generators, UPS (if applicable), emergency power testing schedules, and outage response procedures.
- Lead emergency response coordination for facility-related events (power loss, water intrusion, HVAC/refrigeration failure, security system outages), including after-hours response as required.
Vendor & Contract Management
- Select, onboard, and manage contractors (HVAC, electrical, plumbing, fire protection, security, refrigeration, janitorial, pest control, landscaping, waste disposal).
- Negotiate scopes, monitor performance, verify invoices, and ensure vendor compliance with safety and site rules.
- Obtain quotes and support budgeting for repairs and capital improvements.
Budgeting, Projects, and Continuous Improvement
- Support annual facilities OPEX/CAPEX planning; identify ROI opportunities (energy savings, LED conversions, standardized parts, PM optimization).
- Manage small-to-mid projects end-to-end (scope, schedule, contractors, permits/inspections where needed).
- Recommend improvements that reduce downtime, improve safety, and increase operational efficiency.
Required Qualifications
- 5+ years of progressive facilities/maintenance experience in an industrial, warehouse, healthcare, or regulated environment.
- Two to three years’ experience in a manufacturing environment with a strong background in facilitates and ground security. Mail-order pharmacy or other highly regulated industry experience strongly preferred.
- Demonstrated ability to run a PM program and manage multiple vendors and service contracts.
- Strong hands-on capability with building maintenance (mechanical aptitude; ability to troubleshoot).
- Working knowledge of life/safety fundamentals (fire protection systems coordination, egress, emergency lighting, drill readiness).
- Proficient with documentation and basic reporting (work orders, spreadsheets, service logs); experience with a CMMS is a plus.
- Valid driver’s license; must be able to respond locally for emergencies.
Preferred Qualifications / Credentials
- Experience supporting pharmacy, healthcare, cGMP-like, or high-compliance operations not required but highly desirable
- OSHA 10/30 (or equivalent safety training), lift/scissor-lift experience, and lockout/tagout proficiency.
- Trade certifications/licensure (electrical, HVAC, mechanical) or equivalent demonstrated experience.
- Experience with access control/CCTV systems and temperature monitoring platforms.
- Ability to obtain OSHA-compliant forklift (PIT) certification within 30 days of hire; role may occasionally operate forklifts/pallet jacks to support maintenance tasks and vendor logistics.
- EPA 608 certification nice to have but not required
KNOWLEDGE, SKILLS & ABILITIES:
- Positive, forward thinking, interpersonal, team building and motivational aptitude.
- A good working knowledge of pumps, gearboxes, motors, pneumatics and hydraulics is necessary.
- Knowledge of basic electrical concepts and circuit design.
- A basic knowledge of HVAC concepts, condenser and evaporator operation.
- Knowledge or fulfillment packaging equipment such as carton sealers (3M), carton erectors (Pearson), conveyors (Interroll)
- Knowledge of appropriate precision measuring tools and appropriate use of hand tools and other maintenance tools.
- Knowledge of safety (OSHA) and regulatory requirements for automation systems Ability to properly assess team knowledge to disassemble, clean, repair and re-assemble complex electro-mechanical devices and equipment.
- Ability to fabricate simple parts for corrective maintenance. Should be a creative problem solver with the ability to systematically troubleshoot in a logical and process oriented fashion and monitor results to apply them to a problem-solving endeavor.
- Ability to work independently while managing priorities and coordinating multiple activities at one time. Good organizational skills with the ability to prioritize workload and possesses a strong attention to details.
PHYSICAL DEMANDS:
- Must be able to safely lift and move up to 50 lbs.
- Must be able to access equipment for repair and maintenance (may require crawling, bending, lying underneath equipment.
- Frequently required to walk, stand, stoop, kneel, crouch and reach with hands and arms
- Must possess physical ability to move equipment
- Work is carried out in a fulfillment center and warehouse environment
- Frequently required to climb a ladder or work at heights up to 35’ on a scissor lift wearing safety harness. Comfortable working at heights up to 35’.

The expected base pay range for this position is $65K–$85K per year. The actual compensation for the position may vary based on market differences and on factors such as skills, experience, qualifications and can vary based on location and/or work schedule. In addition to base pay, CareTria offers a comprehensive benefits package.
