The paralegal will support litigation attorneys from intake through trial, including calendaring, deposition coordination, trial preparation, client communication, and case file management. This role requires a strong understanding of California civil litigation procedures, excellent organization, and the ability to manage deadlines without micromanagement.
Key Responsibilities
- Maintain and update all litigation deadlines, hearings, depositions, mediations, expert disclosures, and trial dates.
- Immediately calendar new dates upon receipt and send written confirmation to the assigning attorney.
- Perform regular audits to ensure accuracy and prevent conflicts.
- Maintain highly organized digital and physical case files following established firm structure and naming conventions.
- Ensure all pleadings, correspondence, exhibits, discovery, deposition transcripts, and trial materials are consistently filed and accessible.
- Schedule depositions with counsel, witnesses, vendors, and interpreters.
- Prepare and serve deposition notices/subpoenas.
- Confirm logistics and ensure preparation sessions are calendared.
- Communicate professionally with clients regarding appointments, case updates, preparation for depositions, mediations, and trial.
- Maintain timely response standards.
- Assist attorneys in preparing trial binders, exhibit lists, witness lists, jury instructions, and subpoenas.
- Coordinate logistics, vendor communication, and delivery of trial materials.
- Communicate with process servers, record retrieval companies, court reporters, and court clerks.
- Ensure filings and service are completed correctly and documented.
- Prepare and submit e-filings through Court systems.
- Prepare proofs of service, maintain logs, and file conformed copies.
Requirements
- Minimum 3 years of California civil litigation experience (Personal injury experience strongly preferred).
- Strong understanding of civil procedure, deadlines, and trial preparation workflows.
- Bilingual in Spanish
- Proficiency with calendaring, case management systems, and e-filing platforms.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and anticipate next steps.
- Professional communication skills with clients, counsel, and court personnel.
- Strong writing, formatting, and document-preparation ability.
Preferred Qualifications
- Experience with trial preparation and trial support.
- Experience preparing deposition notices, subpoenas, and exhibit packets.
- CasePeer familiarity (not required, but a plus).
- Ability to manage multiple cases and deadlines in a fast-paced trial environment.
