JOB SUMMARY
Kutak Rock seeks a Legal Administrative Assistant in its Spokane office. This position provides legal administrative support to attorneys in multiple practice areas. This role is ideal for an experienced legal support professional who enjoys working in a collaborative and collegial environment.
 
This full-time position is in-office with working hours Monday-Friday from 8:30 AM to 5:00 PM, with some flexibility specific to the department and related workloads.

RESPONSIBILITIES
  • Maintain strict confidentiality and discretion of firm and client matters
  • Prepare, proofread, and edit pleadings, discovery, briefs, memoranda, and correspondence in draft and final form to incorporate revisions
  • Maintain timekeepers’ calendars and monitor docketing deadlines, review documents and correspondence for important deadlines and information
  • File pleadings and other documents with various state and federal courts and municipal agencies, including online filing systems
  • Perform document comparisons using Litera Compare software
  • Coordinate workflows for attorneys, delegating specific tasks to other teams with the ability maintain quality and timelines
  • Organize and maintain extensive sets of files, both electronic and paper
  • Maintain e-mails and documents within the Firm’s Document Management System (NetDocs) and properly profile each document pursuant to the Firm’s Document Retention Policy
  • Proactively accept responsibility and take directions for work assignments and tasks
  • Handle client matters (when appropriate) through telephone and e-mail
  • Keep records and enter lawyers’ time and expenses for submission to Accounting Department through Intapp software
  • Assist with financial reports for attorneys, reconciling expenses
  • Maintain work calendars by scheduling appointments, conference calls, meetings, and professional organization events
  • Perform general office duties, such as preparing scans, copies, building hearing binders and work binders, printing e-mails and documents
  • Assist with other tasks as assigned or necessary within the Department
  • Flexible with hours when work demands, and other duties as assigned

QUALIFICATIONS: Skills and Abilities
  • Ability to maintain confidentiality of firm and client matters
  • High level of Word processing skill with strict attention to detail
  • Excellent verbal and written communication skills
  • Excellent grammar, spelling, and proofreading skills
  • Strong ability to utilize and learn local court rules and procedures
  • Excellent organization skills
  • Strong ability to prioritize assigned tasks
  • Ability to work as a team player and cover for others in work area
  • Ability to work well under the pressures of deadlines and complete projects in a timely manner
  • Ability to prioritize and multitask, moving from one project to another efficiently
  • Ability and desire to learn and adapt new skills and technologies quickly
  • Aptitude to interface with lawyers, clients, and staff professionally
  • Advanced knowledge of Microsoft Office, including the use of Styles and Schemes
  • Advanced knowledge of PDF, Kofax, Excel, and PowerPoint
  • Excellent critical thinking abilities
 
QUALIFICATIONS: Education and Experience
  • High school diploma or equivalent required; college degree given preference
  • 2+ years of experience in administrative support required
  • Experience with real estate related matters, to include working with title officers to obtain copies of recorded instruments preferred
  • E-recording experience preferred, but not required
  • Experience working within a law firm or supporting multiple legal practices preferred

Salary Range: $60,000-$75,000 per year, commensurate with experience
