Key Responsibilities of the Legal Administrative Assistant
- Enter new legal cases into the department’s tracking calendar and system, ensuring supporting documentation is gathered and attached
- Liaise with legal coordinators, property managers, and attorneys to request missing documents and confirm case details
- Process attorney invoices daily using AvidXchange, entering accurate tenant and apartment data
- Respond to incoming emails and phone calls from tenants and property management, providing balance and ledger information from Yardi
- Monitor the legal inbox and promptly route queries to the appropriate team member for resolution
Must-Have Skills/Experience
- At least one year of experience in residential landlord-tenant administration, legal, or real estate
- Familiarity with core legal concepts in housing court, rent demands, nonpayment, and holdover (landlord-tenant) cases
- Experience with Yardi property management software (Preferred)
- Strong written and verbal communication skills, with proven ability to handle high-volume emails and calls professionally
- Detail oriented; able to match invoice information against documentation precisely
