Job Summary:
The HR Service Center Representative serves as the primary resource for all U.S. and Puerto Rico Associates contacting HR Shared Services. This role provides information regarding company-specific HR policies and procedures while ensuring compliance with organizational, state, and federal guidelines.
The HR Service Center Representative serves as the primary resource for all U.S. and Puerto Rico Associates contacting HR Shared Services. This role provides information regarding company-specific HR policies and procedures while ensuring compliance with organizational, state, and federal guidelines.
Responsibilities include handling inquiries related to benefits, paid time off, leaves of absence, HR systems navigation, and employment verifications. All associate interactions must be handled in a professional and confidential manner, with accurate documentation maintained in the case management system.
Key Responsibilities:
- Respond to inquiries regarding HR policies, procedures, health and wellness benefits, and leaves of absence via phone and email
- Assist Associates and Managers with navigation of HR systems
- Document call summaries and processing details in the case management system
- Escalate complex issues to Specialists, SMEs, Centers of Excellence (CoEs), and HRBPs as needed
- Ensure compliance with business, state, city, and federal regulations (including ERISA and legislative Sick Policies)
- Process HR transactions accurately and timely within the HCM system
- Cross-train to support business needs
- Perform special projects as assigned
- Serve as primary contact for HR Regional Office and Distribution Center HR administrators
Required Experience:
- High School Diploma or equivalent experience
- 1–2 years of related experience preferred
- Experience working in a high-volume service environment
- Experience handling sensitive and confidential information
Nice-to-Have Experience:
- Bachelor’s degree
- Previous experience as an HR Representative in a large, fast-paced service environment
Required Skills:
- Ability to manage high call volume while documenting conversations
- Strong communication and interpersonal skills
- Exceptional customer service and follow-through
- Ability to maintain confidentiality and apply privacy requirements
- Ability to multitask in a fast-paced environment
Preferred Skills:
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Knowledge of HR policies, procedures, and systems
- Experience handling difficult callers or situations
- Strong knowledge retention and recall
- Ability to work effectively under pressure
