Position Summary
UB Associates, Inc. provides comprehensive human resources support to multiple UBMD practice plans affiliated with the University at Buffalo. Our HR team supports healthcare providers and administrative professionals across multiple clinical entities, ensuring compliance, operational excellence, and a positive employee experience.
We are seeking a motivated and detail-oriented HR Assistant to support HR operations across multiple UBMD practice plans. This entry-level role provides administrative and operational support to the HR team and plays a key role in recruitment coordination, onboarding, employee records management, benefits administration, and general HR processes.
This position offers valuable exposure to multi-entity HR operations within a healthcare setting and is ideal for candidates looking to begin and grow their career in Human Resources.
Key Responsibilities
Recruitment & Onboarding Support
Assist with job postings and recruitment coordination across multiple practice plans
Schedule interviews and communicate with candidates and hiring managers
Prepare offer letters and onboarding documentation
Facilitate new hire onboarding processes
Ensure timely completion of employment paperwork, I-9 verification, and required compliance documentation
Employee Records & HRIS Administration
Maintain accurate employee personnel files and electronic HR records
Enter and update employee data in HRIS systems
Track licensure, certifications, and credentialing documentation for healthcare staff
Assist with workforce reporting and HR data tracking
Benefits & Employee Support
Support benefits enrollment processes and respond to basic employee inquiries
Assist with leave tracking (FMLA, PTO, etc.) and related documentation
Provide professional and timely customer service to employees across supported practice plans
Compliance & Policy Administration
Support adherence to federal, state, and local employment laws
Assist with maintaining compliance documentation related to healthcare regulatory requirements
Help coordinate policy updates and internal HR communications
Administrative & Operational Support
Prepare HR correspondence and employment verification letters
Support HR projects and organizational growth initiatives
Assist with employee engagement initiatives
Provide general administrative support to the HR team
Qualifications
High school diploma required
Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
0–2 years of administrative, HR, or healthcare office experience
Strong organizational skills with ability to manage responsibilities across multiple entities
Excellent written and verbal communication skills
High level of discretion when handling confidential information
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong attention to detail and accuracy
Preferred Qualifications
Experience in a healthcare or multi-entity environment
Familiarity with HRIS or payroll systems
Basic knowledge of employment law and HR best practices
Understanding of healthcare compliance or credentialing processes
