Job Title: HR and Administrative Specialist

FLSA Status: Non-Exempt

Location: Charlotte, NC

GENERAL POSITION SUMMARY

This position is responsible for performing a range of human resources and administrative functions and for offering various support for staff and management based out of the corporate office in Charlotte.

ESSENTIAL JOB FUNCTIONS

  • Primary Job Functions
  • Provides Human Resources Support;
  • By supporting field and office staff by being point of contact for employees regarding HR policies, benefits, leave and general questions. Help resolve employee concerns, documenting issues, and escalating issues to management if appropriate. Support initiatives for team building and better retention within the organization.
  • Support and supply employees with benefit information and materials as needed. Communicating with our benefit companies and/or our agents regarding various policies and inquiries (401K, benefits, payroll and deduction related issues, etc.)
  • Provides Recruiting and Onboarding Support;
  • By writing, reviewing and distributing job descriptions and other correspondence. By reviewing resumes, screening candidates and coordinate interviews with hiring managers. To work with third party recruiters, potential candidates and managers in the interview process. To prepare background screenings, offer letters, new hire paperwork. To coordinate and facilitate onboarding, orientation and new hire steps and procedures are met for new hires.
  • Provides Administrative Compliance and Safety Support;
  • By helping support the compliance of employment laws and company policies. To maintain and update employee handbooks and policies in coordination with management and external advisors, as needed. To support the department with disciplinary documentation when needed, conducting employee interviews on sensitive, confidential matters. Support the company with safety compliance to ensure the HR processes are aligned and that required documentation is done and record keeping is compliant.
  • Support Management with Various Arrangements;
  • By providing and coordinating travel arrangements (hotel, rental car and flight reservations, etc.); by researching and negotiating various travel related services (i.e. corporate rates for hotels, insurance for cars, etc); by arranging for apartments, car leases, etc. for longer term visitors; by advising visitors on various local issues and problems; and by recommending local places to visitors for business and personal needs

ESSENTIAL JOB REQUIREMENTS

  • Physical Requirements
  • While performing the duties of this job, the staff member is regularly required to sit, walk and hear; this staff member is occasionally required to stand, walk, use hands to pick up, handle or feel, and reach with hands and arms
  • This staff member must occasionally lift and/or move up to 10 pounds
  • This position requires vision abilities such as close vision and the ability to adjust focus
  • Work Environment
  • The noise level in the work environment is usually moderate (i.e. working in a business office with computers printers, and telephones)
  • The staff member may be required to travel for business and work beyond normal business hours when necessary. Limited travel.

EXPERIENCE/MINIMUM QUALIFICATIONS NEEDED

  • Language Skill
  • Ability to read, analyze, and interpret general business documents, forms and instructions in English, bilingual Japanese is preferred
  • Ability to write reports, business correspondence, and procedural manuals in English
  • Ability to effectively respond to questions from Management, Staff, clients and the general public in English
  • Ability to communication verbally and in writing to individuals and groups in English
  • Ability to effectively deliver presentations to Managers, Staff, clients and the general public in English
  • Mathematical Skills
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area circumference, and volume
  • Ability to apply concepts of basic algebra and geometry to draw and interpret bar graphs
  • Reasoning Skills
  • Ability to apply knowledge and sense of understanding to carry out detailed written or oral instructions
  • Ability to deal with problems involving several concrete variables in situations where only limited standardization exists
  • Ability to analyze and use various documents (Contract, purchase orders, etc)
  • Computer Skills
  • Ability to use a computer and such applications as Microsoft Windows, Word, Excel, Outlook and PowerPoint and be able to design custom reports as necessary
  • Other Skills
  • must be tactful, mature, flexible, and able to successfully respond to multiple work pressures

EDUCATION

  • Bachelor's degree in human resources, Business Administration or equivalent combination of education and experience in related fields
  • 2-5 Years of progressive HR experience, preferably in a small to midsized company
  • Experience with recruitment and HR administration, comfortable and accustomed to handling confidential and sensitive information.
  • Bilingual Japanese is preferred yet not required.
