Express Employment Professionals is currently recruiting for a temp to hire administrative assistant for a client company in Baltimore.
Summary of Position:
This position maintains and supports all office functions ensuring facility paper flow and documentation is complete and accurate. This position assists the Terminal Manager and the Payroll/HR Coordinator with day-to-day operations, reports, and special projects. The Administrative Support Assistant interfaces with all AWC staff and associates, corporate AWC associates, manufacturer representatives, and outside vendors. This is a general overview of the requirements for the position, it is not an all-inclusive list.
Essential Functions, Duties & Tasks:
· Provide office administrative support to operations and the human resource department
· Answer phones for facility
· Maintain office supply inventory and orders as needed
· Perform administrative duties for facility management team
· Operates plotter printer and creates documents for management team
· Creates power point presentations for Staff Meetings
· Coordinates office deliveries via outside vendors (ie UPS, FedEx)
· Orders small parts supplies for production and materials department
· Tracks associates corrective action points, and notified manager if associate reaches a critical level
· Produces weekly and monthly reports for management
· Assist management with weekly production reports (ie hourly quality reports)
· Accountable for all "Carpet Charts" for quality department
· Creates weekly power point reports for first point of rest, pre-inspection, and final inspection
· Accountable for updating and producing the BTC Issues Tracking List on a weekly basis
· Updates and distributes the weekly Torque Tracking Report and the Team KPI report
· Creates and distributes the Non-invasive Temp and Autonomous Preventative Maintenance Report
· Prints that TWTTP Report and forward to management staff
· Coordinates special events and completes project work for the location
· Organizes company picnics and party's (ie Christmas, Employee Appreciation...etc)
· Coordinates the food and beverages for meetings held at the BTC location
· Supports the Terminal Manager with accounts payable information and billing cycles
· Research and price shop small production tools and supplies
· Invoices monthly billing and completes all month end reports
· Provide operational support to customer as directed by facility management
· Import and export production totals to respective customer headquarters
· Complete all other duties assigned by management

· Able to remain calm during chaotic and stressful times
· Able to pay close attention to details and identify/correct mistakes
· Exhibit a high level of professionalism when interacting with other staff members, outside representatives, and customers
· Must possess excellent planning, analysis, and organizing skills
· Ability to communicate effectively
· Ability to keep confidential information private
· Excellent Microsoft Office skills (MS Word, Excel and Outlook)
· Knowledge of general office and business practices, equipment, and procedures
Education, Experience and Minimum Requirements:
· High school diploma or equivalent
· Valid driver's license
· Capable of sitting for extended periods of time
· Capable of performing repetitive tasks
· Excellent computer skills with Excel, Microsoft Word, and email
· Excellent verbal and written communication skills
· Good and regular attendance
Preferred Requirements:
· Payroll experience desired
