Description:Administrative Assistant responsible for supporting Hot Mill operations by managing procurement, coordinating training, maintaining compliance documentation, and improving tracking processes in a high-volume environment.
Responsibilities:Responsibilities:
- Maintain a safe work environment.
- Manage and track purchase orders (POs), including high-value capital and non-capital expenditures, ensuring accurate documentation, timely processing, and budget alignment
- Coordinate and maintain rental equipment tracking systems, improving visibility and accountability across departments
- Support training compliance and scheduling, ensuring employees meet required certifications and safety requirements
- Maintain and update controlled documents and procedures within systems.
- Develop and enhance Excel-based trackers and dashboards (e.g., payment tracking, training logs, equipment verification), increasing efficiency and reporting accuracy
- Act as a liaison between operations, maintenance, engineering, HR, and vendors, ensuring clear communication and timely follow-ups · Monitor invoices, payments, and balances, helping track financial commitments and upcoming payment milestones
- Support quarterly meetings, safety meetings, and department communications, including scheduling and documentation
Requirements:
- Proficient in Microsoft Office
- Excellent communication skills
- Strong organizational and time management skills
- Experience with high levels of responsibility
- Strong written and verbal communication skills
- Detail oriented and self-motivated
Preferred:
- Bachelor’s degree preferred
- Previous Administration and Clerical experience
