Heart & Vascular Wellness Center is looking for an experienced, dependable, and highly organized Front Office & Prior Authorization Specialist to join our team. This is a great opportunity for someone who enjoys working in a fast-paced specialty practice and understands how critical front office operations, insurance verification, and prior authorizations are to the patient experience.
 
We are seeking someone who can confidently manage patient-facing front desk responsibilities while also taking ownership of prior authorizations as a primary focus of the role. The right candidate will be detail-driven, proactive, professional, and comfortable working with providers, clinical staff, patients, and insurance carriers to help ensure smooth and timely care.

What You Will Do:
Front Office Responsibilities:
  • Greet and check in/check out patients in a warm, professional, and friendly manner.
  • Answer incoming phone calls and assist patients with scheduling and general questions.
  • Schedule and reschedule appointments accurately and efficiently.
  • Collect copays, balances, and update patient demographic information.
  • Maintain complete and accurate patient records in the EMR.
  • Support daily front desk workflow and help keep patient flow running smoothly.

Prior Authorizations:
Primary Focus of This Role:
  • Submit prior authorizations for cardiology tests, imaging, procedures, and surgeries, including: 
    • Echocardiograms.
    • Stress Tests.
    • Holter Monitors.
    • Event Monitors.
    • Nuclear Studies.
    • Cardiac CT / MRI.
    • Procedures and surgeries.
  • Follow up on pending authorization requests and respond with urgency.
  • Track approvals, denials, and payer responses.
  • Communicate authorization status clearly with providers and clinical staff.
  • Maintain accurate authorization logs and ensure timely completion.
  • Help prevent treatment delays by staying ahead of payer requirements.

Insurance Verification Responsibilities:
  • Verify insurance eligibility before appointments.
  • Confirm benefits, copays, deductibles, and authorization requirements.
  • Identify referral requirements and obtain referrals when needed.
  • Contact insurance carriers to resolve eligibility or coverage issues.
  • Accurately document verification details in the EMR.

What We Are Looking For:
  • Minimum 2–3 years of medical front office experience.
  • Extensive prior authorization experience required.
  • Insurance verification experience required.
  • Cardiology or specialty practice experience preferred.
  • Knowledge of major insurance types and payers, including: 
    • Medicare.
    • Medi-Cal.
    • HMO/PPO.
    • Commercial insurance.
  • Strong attention to detail and accuracy.
  • Excellent communication and follow-up skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • EMR experience required; eClinicalWorks preferred but not require.
