Job Summary

We are looking for a professional, energetic, and organized Front Desk Receptionist to be the first point of contact for our busy construction company. You will represent our brand to clients, manage a high volume of calls, and provide critical administrative support to our project managers and field teams. The ideal candidate is someone who can keep their cool in a fast-paced environment and isn't afraid to dive into the details of construction documentation.

Key Responsibilities

  • Reception and Communication: Greet visitors (clients, subcontractors, and vendors) with professional and friendly demeanor.
  • Communications: Manage a multi-line phone system, directing calls to the appropriate department or field personnel.
  • Project Support: Assist with project-related paperwork, including bids and submittals.
  • Logistics: Coordinate incoming/outgoing mail and deliveries, including blueprints and site equipment.
  • Admin Duties: Maintain office supplies, manage conference room schedules, and assist with data entry into accounting or construction management software.
  • General Office: Maintain cleanliness in common areas, put away office orders.

Qualifications & Skills

  • Experience: 2-5 years in a receptionist or administrative role (construction or trades experience preferred).
  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat. Familiarity with software like QuickBooks or Procore is a major plus. Typing skills 30-55 words per minute.
  • Communication: Exceptional verbal and written communication skills; ability to communicate effectively with both office personnel and field crew.
  • Organization: High attention to detail with the ability to multitask under pressure.
  • Education: High School Diploma or equivalent required.

Hiring Requirements

  • Pass Federal Government security clearance (includes drug testing) and clean driving record
  • Typing test 30-55 words per minute.
