Job Overview:
 
The Front Desk Administrator is responsible for providing general and administrative and clerical office support to all Departments, greeting and assisting members, guests, and renters who visit or call the Association office, maintain Association property files, and Member I.D. Card system. 
 
Compensation: $19-21/hr
 
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
 
Your Responsibilities:
  • Greet and provide excellent customer service to homeowners, renters, and guests at the front desk in person, by phone, or email
  • Be familiar with CC&Rs, Bylaws, ACRB, Rules, and Policies to properly answer and/or refer inquiries
  • Issue Member I.D., Long Term Renter, TKB&HA, and Day Use Amenity Cards per the Board of Directors’ Member I.D. Card policy.
  • Issue boat tags, parking stickers, and hang tags
  • Maintain safe and clean front desk, lobby, conference room, and kitchen areas by complying with procedures, rules, and regulations
  • Manage office and kitchen supplies inventory and weekly/monthly orders
  • Cash register management: reconcile cash drawer daily and prepare bank deposit for Front Desk Lead.
  • Credit card processing and daily submittal and reconciliation
  • Receive and code ACC applications and process applicable fees
  • Radio in and log requests for water quality crew during the Summer months
  • Maintain Association announcement bulletin boards; post meeting schedules, agendas, and other Association news/events.
  • Date, time stamp, and distribute mail; prepare Fed Ex and certified/regular mailings
  • Prepare Lobby and/or Conference Room for Board, Committee, and other meetings; update Front Desk meeting calendar       
  • Maintain and update New Homeowner Packets
  • Maintain Association Property Lot files and Architectural Control files
  • Maintain and respond to assigned, and group email account
  • Process Event Request Applications
  • Tally daily business for Front Desk Performance Tracking
  • Maintain front office equipment (Ricoh copier, postage meter, etc.)
  • Use HOA software program, TOPS, to manage homeowner information and send email blasts
  • Clean office areas and pavilion as needed
  • Assist other Departments as needed
  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.  
  • May be required to cover weekends or closing shifts as needed pending staffing availability and community event schedules.
Skills & Qualifications:

  • High school diploma or equivalent.
  • 2 years customer service experience. 
  • Knowledge of basic office procedures
  • Microsoft Office proficiency
  • Customer Service Oriented
  • Excellent Verbal and Written Communication skills
  • Follow-up and attention to detail
  • Previous HOA experience is a plus but not required. 
Education & Experience:
  • Some college or technical education.
  • Previous customer service experience.
Physical Requirements and Working Environment:
  • Must be able to lift 30 lbs.
  • Ability to lift, push and move equipment and furniture.
  • Must be able to sit and stand for extended periods of time.
  • Talking and listening occur continuously in the process of communicating with clients, guests, supervisors, associates, and vendors.
  • Must be able to communicate both on the phone and in person in order to resolve issues related to the business.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be mobile enough to move around the office and during outside events; including walking on uneven surfaces and standing for long periods of time.
  • Ability to work with inside and outside environmental elements (noise, weather, etc.).
  • Ability to work around pool equipment and chemicals.

Full time position: Typical schedule, Monday through Friday, 8:00 a.m. – 5:00 p.m.  Workdays, hours of work and location may vary and overtime work will be required from time to time. Consistent and regular attendance required.  

This position is fully onsite at the assigned jobsite location. The essential functions of the role require in-person attendance, and remote work accommodations are not available.
