Job Details
The Front Desk Administrator serves as the first point of contact for visitors, clients, and employees. This role is responsible for managing front office operations, providing administrative support, and ensuring a welcoming, organized, and professional environment. The ideal candidate is highly organized, detail-oriented, and customer-service driven.
Key Responsibilities
- Greet and assist visitors, clients, and vendors in a professional and friendly manner
- Answer, screen, and direct incoming phone calls and emails
- Manage calendars, schedule meetings, and coordinate conference room bookings
- Maintain front office appearance and ensure a clean, organized reception area
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain office supplies inventory and place orders as needed
- Provide administrative support to various departments, including data entry, filing, and document preparation
- Assist with onboarding paperwork and visitor sign-in procedures
- Maintain accurate records and update internal databases
- Support special projects and additional administrative tasks as assigned
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- 1+ years of experience in a front desk, receptionist, or administrative role
- Strong verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask and prioritize
- Professional demeanor and customer-service mindset
- Ability to maintain confidentiality and handle sensitive information
Preferred Skills
- Experience with office management software or CRM systems
- Familiarity with multi-line phone systems
- Basic bookkeeping or invoicing experience
- Experience in a fast-paced or customer-facing environment
