The Facilities Manager is responsible for the maintenance, repair, safety, and overall presentation of Allen & Allen's seven regional office locations. This role ensures that all facilities and grounds are maintained in accordance with firm standards and company policies, consistently reflecting a professional, welcoming environment for clients and staff.
To accomplish this, the Facilities Manager oversees building operations, mailroom services, vendor partnerships, and select capital and operational projects. This is a full-time, exempt position reporting to the Director of Operations. The role supervises a small team and regularly collaborates with senior leadership, internal staff, and external contractors.
Key Responsibilities:
- Proactively identify and address maintenance and repair needs across seven regional offices.
- Respond to ad hoc facility issues with strong planning, clear communication, and timely follow-through.
- Maintain building maintenance documentation and administrative reporting, including safety inspections.
- Support and enforce firm emergency procedures and preparedness protocols.
- Supervise facilities and mailroom staff.
- Manage vendor relationships and coordinate third-party services for ongoing facility needs.
- Perform minor maintenance tasks that do not require contracted vendors.
- Build collaborative relationships across departments to manage projects efficiently and communicate status transparently.
- Participate in capital projects, including office renovations and relocations.
- Support broader operations initiatives as needed.
- Travel regularly between offices.
- Maintain availability for after-hours emergencies, including nights and weekends as required.
- Other duties as assigned.
Required Skills:
- Property management experience.
- Budget and forecasting experience.
- Proven ability to build trust across all levels of an organization.
- Strong communication skills.
- Ability to think proactively and operate in organized, professional, and methodical ways.
- Ability to manage third party vendors and project implementation.
- Proficiency with technologies in use at the Firm, including Windows, Microsoft Word, Excel, and Outlook.
- Ability to learn and utilize other technologies as they are introduced.
Physical and Environmental Requirements:
- Ability to lift 50 pounds unassisted.
- Ability to travel to offices.
- Ability to stand and walk around the facility for extended periods of time.
- Perform manual tasks such as minor repairs, inspecting systems, moving office furniture, etc.
- Good flexibility, finger dexterity and hand-eye coordination are required for this position.
- General office environment requiring sitting for long periods of time, occasional periods of standing, bending, lifting, and walking.
- Visual capability to work viewing a computer monitor for several hours of the day.
Education and Experience:
- High school diploma or General Education Diploma (GED)
- Minimum of 5 years in building/plant maintenance and leadership experience or equivalent combination of education and experience
- Technical associate degree preferred
