Nisga’a CIOPS delivers cleared professionals to support civilian and DoD customers worldwide across intelligence support, cyber/defensive cyber operations, IT O&M, infrastructure modernization, training, and logistics.

 

Summary:

This position provides administrative and systems support to facilities maintenance and engineering operations supporting Bureau of Prisons (BOP) environments.

 

The role is highly systems-driven and focuses on maintaining accurate records, routing actions through approval workflows, and tracking maintenance, financial, and administrative activities.

The Administrative Assistant will support daily operations by entering and updating records in enterprise systems, coordinating work requests, tracking maintenance activities and preventive maintenance schedules, maintaining documentation and logs, and ensuring requests and approvals are processed accurately and on time. The role requires strong attention to detail, comfort working within enterprise software platforms, and the ability to manage multiple administrative workflows in a structured federal environment.

Responsibilities:

Essential Job Functions:

  • Enter, update, and maintain records within enterprise administrative, financial, or facilities management systems.
  • Track work requests, maintenance activities, inspections, and preventive maintenance schedules.
  • Route administrative actions, approvals, and documentation through established workflows.
  • Maintain logs, reports, and tracking systems to ensure accurate status updates and documentation completeness.
  • Coordinate with facilities staff, engineering teams, vendors, and program staff to support operational workflows.
  • Process administrative documentation including requisitions, purchase requests, invoices, and related records when required.
  • Assist with maintaining organized project files, records, and administrative documentation.
  • Generate administrative reports and provide status updates for leadership and program staff.
Qualifications:

Necessary Skills and Knowledge:

  • Strong organizational skills and ability to manage multiple administrative workflows.
  • Experience working within enterprise systems and maintaining accurate electronic records.
  • Ability to track and monitor high‑volume administrative actions and maintain detailed logs.
  • Strong written and verbal communication skills.
  • Attention to detail and ability to ensure documentation accuracy and completeness.
  • Ability to work independently while supporting a team environment in a structured operational setting.
  • Ability to prioritize tasks and manage deadlines in a fast‑paced administrative environment.

Minimum Qualifications:

  • High School Diploma or equivalent required.
  • Minimum four (4) years of administrative or program support experience.
  • Experience working within enterprise systems or administrative tracking systems.
  • Experience supporting high‑volume administrative workflows such as record tracking, documentation processing, or workflow routing.
  • Experience working with federal financial or procurement systems such as UFMS, FMIS, IFMIS, or similar.
  • Prior roles such as Facilities Administrative Assistant, Maintenance Clerk, Facilities Coordinator, Work Order Coordinator, Engineering Department Administrator, CMMS Administrator or similar.
  • Ability to obtain and maintain DOJ/BOP suitability and facility access as required.

Preferred Qualifications:

  • Experience supporting facilities, engineering, maintenance, or building operations environments.
  • Experience working with facilities maintenance or CMMS systems (e.g., Maximo, SAP PM, eMaint, Fiix, Maintenance Connection, or similar).
  • Experience supporting maintenance operations such as work orders, preventive maintenance schedules, or inspection tracking.
  • Experience supporting federal programs or government administrative environments.

 

Pay and Benefits

The Hourly Pay Rate for this position is: $35.34
