Responsibilities:
  • Perform daily docket administration and thorough review in IP management systems (e.g., AppColl, CPI, Anaqua, or similar); update entries, enter billable time, generate reports, and resolve issues.
  • Download, analyze, and distribute USPTO communications (office actions, notices, allowances) each morning; prepare prompt, accurate reports for attorneys and clients.
  • Independently prepare, proofread, and file complex patent/trademark applications, responses to office actions, continuations, divisionals, extensions, statements of use, maintenance/renewals, IDSs, and other prosecution documents via TEAS, Patent Center, and USPTO systems.
  • Proactively track and prioritize docket deadlines by urgency (working backward from closest dates); follow up with attorneys on pending actions and instructions.
  • Handle detailed client communications regarding case status, strategy, deadlines, document needs, and prosecution updates.
  • Conduct in-depth research on USPTO rules, procedures, prior art, and legal issues to support prosecution and responses.
  • Draft and finalize supporting documents such as declarations, assignments, powers of attorney, petitions, and correspondence.
  • Coordinate international filings (PCT, Madrid Protocol, Paris Convention) and liaise with foreign associates.
  • Support IP portfolio management, due diligence, assignment recordations, and limited litigation/appeals preparation.
  • Attend weekly team meetings, contribute to process improvements, and mentor junior staff on docket/filing protocols.
  • Manage incoming work from dockets, attorney requests, client projects, or email; deliver completed work to supervising attorneys.
Qualifications:
  • Paralegal certificate from an ABA-approved program or equivalent specialized training.
  • 5+ years of experience as an IP paralegal in a law firm, with extensive patent and/or trademark prosecution and USPTO expertise.
  • Proven independent management of high-volume dockets, daily USPTO reviews, deadline prioritization, and accurate electronic filings.
  • Advanced proficiency in IP docketing software (AppColl, CPI, Anaqua, or equivalent) and USPTO systems (TEAS, Patent Center).
  • Strong knowledge of U.S. patent/trademark laws, rules, and timelines (including PCT, maintenance fees, post- registration).
  • Experience with international IP prosecution or litigation support.
  • Exceptional organizational skills, meticulous attention to detail, and ability to handle competing priorities in a fast- paced setting.
  • Outstanding written and verbal communication for client and attorney interactions.
  • Proficiency in Microsoft Office, PDF tools, and legal research platforms.
  • Commitment to confidentiality and professional judgment.
