One of our major trade association clients is looking for an outstanding executive assistant to join their office on a permanent basis. The Executive Assistant to the President & CEO serves as a trusted strategic partner in a fast-paced, mission-driven environment. This role goes beyond traditional administrative support and is integral to maximizing the CEO’s time, priorities, and engagement with member leadership, policymakers, and key stakeholders. The ideal candidate is highly organized, resilient, detail-oriented, and thrives in a dynamic setting where discretion and sound judgment are essential.

Key Responsibilities

  • Serve as a strategic partner to the CEO, proactively managing priorities to ensure time is focused on the most impactful member meetings and organizational initiatives
  • Manage complex and frequently changing calendars, including scheduling high-level meetings with member executives, board leadership, and external stakeholders
  • Coordinate nearly all domestic travel for the CEO, including flights, accommodations, ground transportation, itineraries, and contingency planning
  • Prepare briefing materials, agendas, and background documents to support meetings and travel
  • Act as a liaison between the CEO and internal teams, members, board leadership, and external partners
  • Anticipate needs, identify potential scheduling conflicts, and resolve issues before they arise
  • Handle sensitive and confidential information with professionalism and discretion
  • Support board-related activities as needed, including meeting logistics and preparation
  • Assist with special projects and organizational initiatives at the direction of the CEO


Qualifications & Experience

  • Bachelor’s degree or equivalent professional experience
  • 5+ years of experience supporting senior executives, preferably in a trade association, nonprofit, or similarly complex organization
  • Demonstrated ability to thrive in a fast-paced environment with competing priorities
  • Exceptional attention to detail and organizational skills
  • High level of resiliency, flexibility, and composure under pressure
  • Strong written and verbal communication skills
  • Proven experience managing complex travel arrangements and executive calendars
  • Ability to exercise sound judgment, anticipate needs, and work independently
  • Proficiency with Microsoft Office and calendar/travel management tools


Preferred Attributes

  • Experience working closely with a CEO or C-suite executive
  • Understanding of membership-based organizations or associations
  • Professional demeanor with the confidence to interact with senior leaders and members
