SUMMARY:
The Executive Assistant provides high level administrative support to the President & CEO and other agency Executives, as needed.

Job-specific essential functions include the following:
TEAM FIRST: Makes every effort to maintain a 'team first' spirit and atmosphere within the workplace environment, maintaining appropriate working relationships and promoting collaboration.
- Screens and directs incoming calls, visitors, email, mail, etc. Receives incoming communication or memos on behalf of President & CEO, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs various clerical tasks utilizing knowledge of office systems and procedures.
- Prepares and distributes meeting minutes for Executive Leadership Team, including but not limited to weekly meetings, quarterly off-site meetings, ad hoc meetings, etc.
- Prepares and distributes meeting minutes for Board of Trustees meetings and conference calls. Performs administrative/clerical tasks for Board of Trustees, as needed.
- Assists in all processes regarding County Contracts, maintenance of files, etc.
- Maintains insurance records for commercial insurance (property, liability, auto, etc.), assists with the processing of commercial insurance renewals and claims.
- Prepares memorandums and general correspondence, as needed.
- Updates and maintains agency organizational chart(s).
- Prepares and sends out monthly employee birthday cards.
- Assists in scheduling travel.
- Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES: None.
REQUIRED SKILLS & ABILITIES:
- Excellent verbal, written, telephonic, skills required. Ability to effectively present information to small groups and respond to questions from employees, supervisors, Board Members, general public required.
- Excellent interpersonal skills, including conflict resolution, required. Must be able to communicate well with colleagues, verbally and in writing.
- Excellent organizational skills and attention to detail. Ability to multitask and prioritize assignments.
- Ability to read, analyze, and interpret general business documents, such as procedure manuals. Ability to apply common sense.
- Ability to write routine reports and correspondence.
- Competency with a personal computer, and familiarity with Outlook, Teams, Word, and Excel. Ability to use and/or learn HRIS and/or Applicant Tracking system.
EDUCATION, EXPERIENCE, CERTIFICATIONS/LICENSES:
- High School Diploma required. Associates degree, preferred.
- One to two years of office experience preferred;
PHYSICAL REQUIREMENTS:
- Ability to talk and hear, required. Ability to sit for up to 60 minutes at a time.
- Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus to use computer.
- Occasionally able to lift/move up to 35 pounds.
- Ability to drive a vehicle legally and safely in the state of Ohio or have reliable transportation to travel to attending meetings, dinners/banquets, strongly preferred. Must be able to travel to work location.
