Next Level Strategies is looking for our next Executive and Operations Assistant

Work Type: Part Time (15-20hr week), Monday-Friday. Flexible schedule between the hours of 9:00am to 7:00pm PST daily.

Location: Remote

Compensation: $30-$40hr DOE Non-Exempt

As the Executive and Operations Assistant you will directly support the CEO and Operations Manager. This role is perfect for someone who excels in a fast-paced environment, is a strong communicator, thrives on organization, and enjoys tackling a variety of tasks across different areas. You'll manage projects from start to finish, collaborate with the team, and play an active role in client engagement and operational support. If you're a problem-solver who loves working in a dynamic environment and is skilled in tools like Microsoft Office and Zoho, this could be the perfect fit!

· You operate with curiosity and enjoy being involved in different areas of the business from data entry, to supporting the Operations team, to attending client facing meetings alongside the CEO in her next pitch.

· You move with intention and are hyper aware of time sensitive deadlines.

· You’re effective at managing projects from start to finish.

· You thoroughly enjoy problem solving and demonstrate integrity, professionalism, and confidence while doing so.

· You’ve experienced working with a small team of decision-makers, with a focus on collaboration and openness.

· You’re proficient with Microsoft Office Suite and have experience with Zoho or similar enterprise software.

A day in the life of the Executive and Operations Assistant is different each day! It’s a dynamic blend of coordination, communication, and logistical support to keep the company running smoothly. Your day will start with reviewing emails and managing the company phone line, ensuring urgent messages are addressed and routed promptly. Preparing for and leading our staff meetings is

a key responsibility—this includes creating agendas, handling logistics, and running the meetings efficiently.

Administrative tasks such as tracking consultants’ certification renewals, scheduling, and managing business licenses are part of the routine. You will also support the CEO by assisting with scheduling, updating documents, managing her to-do list, and proactively ensuring tasks are handled before they reach the CEO’s desk.

Additionally, the assistant ensures the smooth execution of our lunch-and-learn workshops, from newsletter promotion via Zoho Campaigns to workshop administration. Office operations include employee gifts, handling business mail, scanning documents, and maintaining organized client folders in Egnyte.

Beyond internal support, the role extends to managing client communications, poster orders, and professional development requests. Whether assisting with Zoho CRM updates, coordinating team events, or supporting research and development initiatives, this role is at the heart of the company’s operational efficiency.
