Executive Assistant to Founder, CEO, & Doctor

Location: Santa Fe, NM (local/hybrid preferred)

About the Role

We are seeking an exceptional Executive Assistant to support the Founder & CEO of a physician-led health and wellness organization with a national presence. The CEO is a practicing doctor, author, podcast host, and community builder, leading a growing company with multiple concurrent initiatives.

This role is ideal for a highly organized, proactive professional who enjoys bringing structure to complexity and serving as a trusted right hand to a busy executive. You’ll play a key role in helping the CEO stay focused, organized, and effective across clinical-adjacent work, media projects, and business operations.


What You’ll Do

Executive Support & Communication

  • Manage and prioritize multiple email inboxes, flagging urgent or sensitive items

  • Draft, organize, and route correspondence appropriately

  • Act as a liaison between the CEO and internal team members, partners, and vendors

  • Handle confidential information with discretion and professionalism

Podcast & Media Support

  • Schedule podcast recordings and coordinate with guests and production partners

  • Maintain editorial calendars, guest pipelines, and follow-up tracking

  • Support basic promotional coordination and metric tracking

Book & Writing Project Coordination

  • Keep writing deadlines and milestones on track for an upcoming book

  • Organize research materials, notes, drafts, and feedback

  • Coordinate scheduling with editors, publishers, and collaborators

Community & Launch Support

  • Support the development and launch of a paid online community

  • Coordinate with technical and marketing teams on initiatives and launches

  • Help manage content calendars and engagement planning

  • Track high-level growth metrics and member feedback

Process, Systems & Operations

  • Create, document, and refine Standard Operating Procedures (SOPs)

  • Identify inefficiencies and implement streamlined workflows

  • Build organizational systems to support multiple overlapping projects

  • Maintain clear project tracking and status updates

Calendar & Project Management

  • Manage a complex, fast-moving calendar with competing priorities

  • Anticipate conflicts and proactively resolve scheduling challenges

  • Coordinate travel arrangements as needed

  • Track deadlines and ensure nothing falls through the cracks


What We’re Looking For

Required

  • Proven experience supporting a senior executive (Executive Assistant, Chief of Staff, or similar)

  • Exceptional organizational skills and attention to detail

  • Experience creating and implementing SOPs or operational systems

  • Strong written and verbal communication skills

  • Ability to manage multiple complex projects simultaneously

  • High level of discretion, professionalism, and sound judgment

  • Comfortable working independently and proactively

Preferred

  • Experience supporting physicians, authors, or founders

  • Familiarity with podcast production or media workflows

  • Experience with online communities or membership platforms

  • Background in health, wellness, publishing, or mission-driven organizations
