Job Summary/Company: Sparks Group has partnered with a local county government that is seeking an Executive Assistant to support them for a 3-month contract. Please apply today!


Responsibilities:
  • Executive Support & Administration

    • Calendar Management: Proactively manage the Director’s schedule, including the coordination of all internal and external appointments.

    • Meeting Coordination: Attend high-level meetings and Board of Supervisors briefings; capture comprehensive minutes and track action items.

    • Document Control: Manage the flow of correspondence; ensure the Director receives and signs off on vital memos, approvals, and legal documents in a timely manner.

    • Liaison Services: Act as a primary point of contact for County leadership, vendors, and citizens, providing professional customer service and directing inquiries to appropriate staff.

    Strategic Analysis & Project Support

    • Special Projects: Support Department programs by providing administrative oversight for special events and functions.

    • Team Collaboration: Participate as a core team member on high-priority projects initiated by the County Administrator’s office.

    Communication & Reporting

    • Information Flow: Ensure timely and accurate information sharing between the Director, County Administrator, and Division leadership.

    • Reporting: Prepare briefings and summaries based on research to assist in decision-making processes.

    • Additional administrative tasks and duties as assigned.


Qualifications/Background Profile:
    • Education: High School diploma or equivalent required (Associate’s or Bachelor’s degree preferred).

    • Experience: Minimum of 8 -10 of related clerical or administrative experience, specifically supporting executive-level leadership.

    • Technical Skills: Advanced proficiency in computer automated systems and standard office applications (e.g., Microsoft 365, scheduling software). Will be assessed.

    • Equivalency: An equivalent combination of education and high-level experience will be considered.

    • Discretion: Ability to handle confidential information with the utmost integrity.

    • Communication: Exceptional written and verbal communication skills for minute-taking and public interaction.

    • Analytical Thinking: Strong ability to synthesize complex data into actionable reports.

    • Adaptability: Flexibility to perform "other essential job functions" as needed by the specific department assignment.
