Role Overview:


Reporting to the Senior Vice President, Human Resources, the Executive Assistant III (HR) provides high‑level administrative and operational support to the HR Leadership Team (VPs and above). Responsibilities include delivering critical support through complex calendar management, administrative coordination, research, analysis, writing, information coordination, distribution of correspondence, and relationship management. The Executive Assistant III proactively anticipates needs, exercises sound judgment, and manages competing priorities with discretion and confidence in a fast‑paced, highly confidential environment.


The individual must consistently model a professional demeanor and demonstrate exceptional organization, self‑motivation, and attention to detail. Strong interpersonal skills and clear, effective communication are essential, as this role regularly interfaces with senior leaders, cross‑functional partners, and internal and external stakeholders on behalf of the HR Leadership Team.


Work Arrangement:


+ Hybrid- Associate must be in the office at least three (3) days per week, including core days of Tuesdays and Wednesdays


Executive Administrative Support:


+ Provides comprehensive administrative support to the SVP, Human Resources and HR Vice Presidents, including proactive management of complex calendars and coordination of associated logistics.

+ Coordinates travel arrangements, including itineraries, accommodations, and related logistics.

+ Manages executive expense reporting and reconciliation in accordance with company policies, ensuring accuracy and timeliness.

+ Assists with the coordination and logistics of executive meetings, leadership forums, and HR sponsored events.

+ Handles highly sensitive and confidential information with discretion and professionalism, including executive leadership materials, Board materials, workforce actions, executive compensation, and confidential executive hires.

+ Develops an understanding of HR leadership priorities to anticipate needs, proactively address issues, and resolve routine challenges independently.

+ Updates and maintains data on behalf of the SVP, Human Resources through HRIS workflows (via proxy), ensuring data accuracy and compliance.

+ Serves as a point of contact and liaison with internal and external stakeholders, including executive leaders, Board members, and their support teams, on behalf of HR leadership.


Planning & Logistics:


+ Leads planning and logistical support for HRLT–sponsored events and engagements, including executive speaking engagements, leadership offsites, HR forums, and enterprise sponsored events.

+ Coordinates department wide and cross functional initiatives in partnership with HR leaders, ensuring timelines, logistics, dependencies, and follow through are effectively managed.

+ Oversees end to end logistics for executive and guest visits, including badging, workspace and hoteling arrangements, Wi Fi access, and on site support.

+ Coordinates meeting technology and digital engagement tools, including virtual and hybrid meeting setup.

+ Partners with Facilities, IT, and external vendors to support space planning and facility coordination for meetings, events, and leadership convenings.

+ Anticipates logistical risks and proactively resolves issues to ensure high quality execution of executive meetings and events


Education & Experience:


+ Bachelor’s Degree or equivalent work experience.

+ 5+ years of experience as an Executive Assistant or Executive Coordinator with at least 3 years of experience supporting executive level leaders.

+ Advanced proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint is required.

+ Prior experience developing presentations for executive-level audiences a plus.

+ Proficient skills and experience with SharePoint.

+ Ability to identify problems, collect and analyze information and recommend solutions.

+ Ability to plan, organize, and handle multiple tasks independently.
