Role Summary:
We’re seeking an experienced and highly organized Executive Assistant II to provide professional, proactive support to senior leadership in a dynamic and fast-paced environment. This role is ideal for someone who thrives on multitasking, values precision, and takes pride in keeping operations running smoothly. As an Executive Assistant, you will act as a trusted partner to executives, manage complex schedules, facilitate communication, and ensure the seamless execution of key initiatives.
This is a full-time, on-site role offering the opportunity to work closely with decision-makers and make a meaningful impact every day.
Key Duties and Responsibilities:
Provide high-level administrative and executive support to assigned leaders, maintaining confidentiality and professionalism at all times.
Manage complex calendars — schedule, prioritize, and coordinate meetings, appointments, and events, using sound judgment to resolve scheduling conflicts.
Plan, organize, and participate in administrative and board-level meetings, including arranging meeting logistics, preparing agendas, recording minutes, and ensuring timely follow-up on action items.
Act as a liaison between executives and key internal and external stakeholders, including staff, board members, and partners.
Prepare correspondence, reports, and presentations with attention to detail and accuracy.
Exercise independent judgment in handling sensitive information and administrative matters that require discretion.
Prioritize and manage multiple projects simultaneously, ensuring deadlines are met efficiently and effectively.
Support event coordination, travel arrangements, and other executive-level administrative needs as required.
Required Qualifications:
Minimum of 3 years of experience in executive, administrative, or office management support roles.
Proven ability to manage executive calendars and coordinate multiple priorities.
High school diploma or equivalent required (proof of education must be provided).
Exceptional written and verbal communication skills.
Strong organizational skills and a high level of attention to detail.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools.
Desired Qualifications:
Certified Administrative Professional (CAP) or Professional Administrative Certification of Excellence (PACE) preferred.
Experience supporting senior executives or working in a healthcare or corporate environment is an asset.
Ability to work both independently and collaboratively as part of a team.
Professional demeanor with a proactive and solution-oriented mindset.
Compensation and Work Details:
Schedule: Monday through Friday, 8-hour shifts
Contract Duration: 3-month assignment
Location: On-site in Irving, TX
