We're looking for a Executive Assistant who will provide support to our Corporate Leadership Team. This role will play a critical role in ensuring key priorities, communications, and meetings are executed smoothly across the organization. The ideal candidate for this role must have a strong work ethic, be willing to work flexible hours when called upon. Essential Functions & Responsibilities:
- Provide day-to-day administrative support to the Corporate Leadership Team, proactively anticipating needs and removing obstacles.
- Manage multiple executives' calendars, including scheduling, prioritizing conflicts, and confirming logistics.
- Serve as a “gatekeeper” to ensure effective use of executives’ schedules and identify win-win opportunities for direct access to executives’ time.
- Coordinate domestic and occasional international travel, including booking travel and accommodations, creating itineraries, and completing any other necessary preparation.
- Plan and setup in-person and virtual meetings (via Microsoft Teams or Zoom), including agendas, materials, note-taking, and action-item follow-up.
- Assist with coordinating company-wide or high-priority customer events.
- Manage a variety of special projects and tasks for the Corporate Leadership Team, providing proactive assistance, follow-through, and updates to the group as needed.
- Compile, edit, and format presentations, reports, and spreadsheets for leadership and cross-functional meetings.
- Prepare and submit expense reports on behalf of leadership team members.
- Draft, format, and route confidential correspondence and internal communications as needed.
- Provide administrative support in coordinating recruiting activities such as new hire orientations or recruiting events.
- Maintain and distribute key pieces of documentation, such as business licenses, Certificates of Insurance, annual dealer license plates, updated vehicle insurance cards, and more.
- Other duties as assigned.
Education and/or required experience:
- 3+ years of experience as an Executive Assistant or in a similar administrative support role, preferably supporting senior leaders.
- Strong proficiency with Microsoft Office suite and other technology platforms.
- Proven ability to manage competing priorities, shifting deadlines, and confidential information with discretion.
- Excellent written and verbal communication skills; able to communicate diplomatically across levels.
- Highly organized and detail-oriented, with strong follow-through and a proactive, solutions-focused approach.
- Comfortable working independently from start to finish on projects in an ambiguous, fast-moving environment.
- Willingness to work flexible hours as business needs require.
- Compensation: $60,000-$85,000. Salary will be determined based on experience, competencies, certifications and education.
