The Executive Assistant (EA) provides high‑level administrative, operational, and strategic support to the C‑Suite, including the CEO, CFO, CSO, and future COO. This role ensures executive effectiveness by managing complex schedules, coordinating critical communications, and enabling smooth operational execution across the organization. The EA acts as a trusted partner, anticipating needs, optimizing processes, and upholding the highest levels of confidentiality and professionalism.

 

Compensation: Competitive Salary Pay - Paid weekly, every Friday! Salary range: $90,000 -$110,000

 

This role is Hybrid - based in Charlotte, NC.

Essential Duties & Responsibilities:

Executive Support

  • Provide comprehensive administrative support to the CEO, CFO, CSO, and future COO.
  • Manage complex executive calendars, ensuring strategic prioritization, efficient scheduling, and proactive conflict resolution.
  • Coordinate executive travel arrangements, including detailed itineraries, logistics, and contingency planning.
  • Prepare, reconcile, and submit executive expense reports with accuracy and timeliness.
  • Schedule and coordinate executive meetings, ensuring all pre‑reads, deliverables, briefings, and required materials are prepared and distributed in advance.
  • Develop, manage, and document structured meeting agendas and expected outcomes.
  • Continuously identify opportunities to streamline administrative workflows and increase C‑Suite productivity.

Operational Administration

  • Serve as a primary point of contact and liaison between the C‑Suite and internal/external stakeholders.
  • Track and manage action items, follow‑ups, and key decisions from executive and cross‑functional meetings.
  • Maintain organized digital filing systems, knowledge repositories, and confidential documentation.
  • Draft, proofread, and format executive communications, presentations, and briefing materials.
  • Support onboarding, access coordination, and communication workflows for individuals interacting with the C‑Suite.

Strategic & Project Support

  • Assist with cross‑functional projects, timelines, and milestone tracking on behalf of executive leadership.
  • Conduct light research, data gathering, and preparation of summaries, briefs, or recommendations when requested.
  • Support preparation and logistics for board meetings, investor meetings, leadership offsites, and all‑hands communications.
  • Coordinate planning sessions and leadership alignment meetings, ensuring materials and logistics are completed to a high standard.

Relationship Management & Culture Support

  • Build strong working relationships across the organization and with external partners, representing the C‑Suite with professionalism and discretion.
  • Support internal culture initiatives, events, and executive-led programs.
  • Maintain confidentiality with sensitive information and act as a trusted advisor to C‑Suite members.

Qualifications

  • 5+ years of experience supporting senior executives; C‑Suite support experience preferred.
  • Exceptional organizational, prioritization, and time‑management skills.
  • Strong written and verbal communication skills with excellent attention to detail.
  • High level of professionalism, discretion, and emotional intelligence.
  • Ability to anticipate needs, solve problems proactively, and operate with minimal direction.
  • Proficiency with Microsoft 365, calendaring systems, travel platforms, and collaboration tools.
  • Demonstrated ability to manage multiple tasks in a fast‑paced environment.
